About The Position

Under the direction of the Human Resources Coordinator, the Human Resources Specialist supports the effective operation of the Human Resources Department by coordinating and administering a variety of personnel functions. Responsibilities include classified recruitment and hiring support, employee onboarding and offboarding, personnel records management, benefits administration, compliance monitoring, employee communications, and customer service for district employees and applicants. The Human Resources Specialist serves as a resource for staff and administrators while maintaining confidentiality and ensuring compliance with federal, state, and district laws, policies, and procedures.

Requirements

  • Associate's degree required
  • Work twelve (12) months a year
  • Effective oral and written communication skills
  • Considerable knowledge in Business English, spelling, and math
  • Ability to understand and follow oral and written instructions
  • Considerable skill in operation of standard office equipment, especially with computers and software, and excellent keyboarding skills
  • Ability to work effectively with administrators, staff, parents, and patrons of the District
  • Knowledge of modern office practices, procedures, equipment and filing systems
  • Ability to learn and apply the policies, procedures, and services of the function to which assigned
  • Ability to keep moderately complex records, to assemble and organize data, and to prepare reports from the records and data compiled
  • Ability to compose clear and concise correspondence and reports, often on an independent basis
  • High ability to work independently on responsible and confidential administrative assignments and secretarial tasks
  • Knowledge of human resources practices, employment laws, and personnel procedures.
  • Strong organizational and time management skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong attention to detail and accuracy.
  • Proficiency with Microsoft Office and Google applications and human resource information systems.
  • Ability to manage multiple priorities and meet deadlines.
  • Ability to work effectively with diverse groups of employees, applicants, students, and community members.

Nice To Haves

  • Bachelor's degree in Human Resources, Business Administration, Education, or related field preferred.
  • First Aid/CPR certificate desired
  • Minimum of three years of progressively responsible administrative or human resources experience preferred.
  • Experience in a public school district or educational setting is preferred.
  • Bilingual in English/Spanish

Responsibilities

  • Assist with recruitment activities, including posting vacancies, advertising positions, and maintaining applicant tracking systems.
  • Facilitate pre-employment processes, including reference checks, background checks, credential verification, and employment eligibility documentation.
  • Prepare personnel recommendations for Board approval.
  • Attend recruitment events, job fairs, and community outreach activities as assigned.
  • Coordinate onboarding activities for new employees.
  • Ensure completion of required employment forms and documentation.
  • Conduct new employee orientation and provide information regarding district policies, benefits, and procedures.
  • Process resignations, retirements, and employee separations.
  • Coordinate exit procedures and maintain appropriate records.
  • Maintain accurate and confidential personnel files and records.
  • Enter and update employee information in human resource information systems.
  • Generate reports related to staffing, certifications, employee demographics, and other personnel data.
  • Ensure compliance with record retention requirements and confidentiality standards.
  • Assist employees with benefit enrollment and changes.
  • Support HR Coordinator with employee leaves, including Family and Medical Leave Act (FMLA), military leave, and other district-approved leave programs.
  • Answer employee questions regarding benefits.
  • Assist with compliance reporting and audits.
  • Support implementation of district policies and procedures.
  • Maintain knowledge of applicable employment laws and regulations.
  • Assist with investigations and documentation as directed.
  • Maintain HR budget documentation including purchase orders and invoices
  • Serve as a point of contact for employees, applicants, and the public regarding human resources matters.
  • Respond to inquiries in a timely, professional, and confidential manner.
  • Provide support to administrators regarding employment procedures and human resource processes.
  • Foster positive working relationships throughout the district.
  • Assist in identifying and implementing support and training opportunities for classified staff
  • Assist with special projects and initiatives related to recruitment, retention, employee engagement, and organizational development.
  • Process, track, and serve as point of contact for district volunteers
  • Support preparation of Board reports and personnel agenda items.
  • Perform other duties as assigned.
