About The Position

The HR Specialist provides administrative and operational support for Lindt & Sprüngli North America across payroll, benefits, and employee data processes. This role processes biweekly payroll, benefit enrollments and qualifying events, supports benefits billing, prepares recurring reports, maintains documentation, and is responsible for ensuring employee information is accurate and up to date. The Specialist works closely with the HR Manager to keep day-to-day processes running smoothly and to support team members with routine questions and requests.

Requirements

  • Associate degree or bachelor’s degree in a related field
  • 2 years benefits administration experience
  • 2 years payroll processing experience
  • Demonstrated expertise in HRIS management (ADP & Workday)
  • Ability to maintain confidential, sensitive, and proprietary information
  • Effective customer service acumen
  • Ability to work independently and effectively while multitasking in a team environment with limited resources
  • Proficient in Microsoft Office Suite and a variety of office equipment
  • Strong oral and written communication skills, and interpersonal skills

Responsibilities

  • Manage biweekly payroll by reviewing data, entering updates for new hires, terminations, and compensation changes, and ensuring all supporting documentation is saved and organized.
  • Responsible for benefit and retirement plan administration, including enrollments, qualifying life events, and other updates into the HRIS and vendor systems, ensuring accuracy and timely processing.
  • Mange HR functions including pre-employment, onboarding, new hire orientation, and offboarding processes for both onsite and remote employees
  • Support the annual open enrollment process, including communication delivery, system testing, employee support, election monitoring, and enrollment audits
  • Primary resource PTO tracking, and leave administration
  • Track unemployment insurance tax rate notices and ensure updates in relevant systems.
  • Respond to unemployment claims and verify employment information as requested
  • Partner with third-party auditors and administrators, to perform annual carrier audits, compliance testing, and required reporting and filings, including medical, dental, vision, 401(k), and ACA
  • Handle compliance reporting, such as EEO-1, OSHA logs, or other government-mandated reports.
  • Responsible for year-end payroll administration, including tax document preparation and reconciliation
  • Maintain and update the HR information system on a daily basis to reflect new hires, employee status changes, including but not limited to, pay rate changes, promotions, department transfers, title changes, and personal information changes
  • Ensure ongoing data integrity of HR Systems through various HR, benefits, payroll and compliance audits through the reporting and monitoring of data input/output to track data entry errors, process adherence, and make recommendations for process improvements
  • Perform other HRIS-related duties as assigned, including process improvement, system optimization, and special projects.
  • Serve as a resource for employees by answering questions related to payroll and benefits; provide timely and consistent follow-up
  • Create and submit routine and ad hoc reports in accordance with internal policies, sustainability metrics, and internal compliance requirements (LICS)
  • Perform other related duties as required and assigned
