About The Position

The Human Resources Representative will serve as a primary contact, providing assistance and support to the Human Resources department. This role involves managing front desk and office administrative needs, responding to associate inquiries regarding personnel, payroll, benefits, and HR policies. The representative will handle a high volume of calls and inquiries, collaborate with the HR team, and direct job applicants to employment resources. Key responsibilities include managing pre-employment offer processing, onboarding new hires and temporary staff, and maintaining confidential information with professionalism. The role also involves managing internet inquiries, approving room availability, overseeing general administrative functions, ordering supplies, processing E-Verify I-9 reporting, maintaining associate records, managing off-site storage, preparing onboarding documents, and handling employment verifications. The position requires understanding HR priorities, ensuring timely communication, and providing high-quality customer service with accurate and reliable information.

Requirements

  • High School or GED required
  • 1-3 years of experience as HR Assistant or HR Representative required
  • Proficient in Microsoft Office products
  • Expert skills in Excel, Word, PowerPoint, and Visio preferred
  • Excellent written and communication skills.
  • Exceptional organizational skills demonstrated success and willingness to work in a multi-task environment.
  • Demonstrated expertise in data entry; strong working knowledge and familiarity with HRIS system.
  • Pays attention to detail and follow through.
  • Demonstrate a high level of skill building relationships and partnerships with internal as well as external resources, customers, and vendors.
  • Demonstrates interpersonal savvy and influence skills in dealings with associates, internal and external resources business partners.
  • Ability to routinely and creatively use and understand technology necessary to collect, input and report critical, requisite information related to human resources, payroll, benefits and related matters.
  • Ability to regularly and effectively communicate with all levels of the Corporation.

Responsibilities

  • Manages the front desk and office administrative needs for the HR Department.
  • Responds to associate questions and needs regarding basic personnel, payroll, benefits information, and other HR policies & procedures.
  • Provides answers/resolution to the majority of calls and inquiries received within HR.
  • Ensures all inquiries and telephone calls to the HR Department are appropriately prioritized and managed in a professional and timely manner.
  • Collaborates with HR team members to appropriately refer inquiries or to determine the best course of action and response.
  • Follows-up as necessary.
  • Directs job applicants to web-based employment resources, including internal job postings.
  • Manages pre-employment offer processing, including background checks, reference checking, and welcome packets.
  • Completes all other HR forms as applicable.
  • Manages the onboarding process for new hires, student/contractor/temporary, and volunteer staff, including updating the new hire report.
  • Manages a high degree of confidential information and ensures it is communicated and/or maintained in an appropriate and professional manner.
  • Responsible for receiving internet inquiries and distributing them to the appropriate department contact daily.
  • Responsible for approving and monitoring room availability in Human Resources.
  • Oversees general administrative functions to ensure all tasks associated with the HR office are executed professionally and efficiently.
  • Orders all supplies, office equipment, and materials for the HR Dept.
  • Enters online submission for E-Verify I-9 reporting.
  • Maintains records in accordance with applicable law.
  • Manages and maintains all associate and non-associate records in accordance with industry standards.
  • Manages the off-site storage and retrieval process for associate and non-associate records.
  • Responsible for storing and retrieving files.
  • Prepares weekly onboarding documents for teams.
  • Manages employment verifications for former or current associates as needed.
  • Performs other duties as assigned.
  • Understands HR matters which constitute a priority for SHS and the HR Department, ensuring all such matters are communicated and addressed in a timely and appropriate manner.
  • Serves as key HR contact and representative; provides high-quality customer service.
  • Ensures all Associates receive accurate, timely, and reliable information and assistance from the HR Department.
  • Facilitates answers to questions, ensuring all inquiries are addressed tactfully, sensitively, and with an appropriate sense of service, urgency, and direction at all times.
