About The Position

Under general supervision, the Human Resources Professional administers and implements Human Resources programs and initiatives. Responsibilities cover most technical aspects of employment services and related projects. Applies professional level knowledge of human resources. Collaborates with various stakeholders to ensure compliance with human resources policy, regulations, and relevant bargaining contracts, and help stakeholders handle requests. Handles multiple work priorities and is accountable for own work results. The incumbent serves as a primary point of contact for the Human Resources Division, providing front desk coverage as assigned and responding to inquiries from employees, applicants, managers, and the public through multiple communication channels.

Responsibilities

  • Coordinate daily operations of the Human Resources front desk, ensuring efficient office workflow and service continuity.
  • Serve as the primary point of contact for HR by responding to phone, email, and in-person inquiries and providing guidance on HR policies and procedures.
  • Liaise with internal and external partners to address requests and route inquiries to appropriate HR staff.
  • Process and distribute HR documentation, incoming mail, and work orders in a timely manner.
  • Administer employee offboarding processes and coordinate system access requests, including volunteer and third-party approvals.
  • Monitor background check and Live Scan requirements to ensure compliance with university policies and procedures.
  • Perform accurate data entry and maintain employee records in PeopleSoft, including name changes, Person of Interest (POI) requests, educational updates, and student employment transactions.
  • Maintain HR office inventories and monitor operational supply needs.
  • Support maintenance and updates of the Employment Services website.
  • Track special projects, compile and analyze survey data, and prepare reports as needed.
  • Coordinate calendars, meetings, and administrative support for the Director of Employment Services.
  • Serve as the primary onboarding delegate for staff, management, faculty, and student employees.
  • Coordinate and process onboarding activities in compliance with university, CSU, and federal requirements.
  • Ensure completion of HR onboarding compliance forms, Tracker Federal I-9 verification, and Mandated Reporter acknowledgments through CSU Recruit.
  • Monitor and maintain compliance with Federal I-9 requirements, including tracking and completing reverifications.
  • Guide hiring departments, onboarding delegates, and applicants through onboarding policies, procedures, and system requirements.
  • Monitor, review, and process Campus Request Forms through Adobe Sign.
  • Prepare and maintain personnel file documentation to ensure accuracy and compliance.
  • Schedule and coordinate onboarding sessions for newly hired employees.
  • Facilitate in-person and virtual onboarding meetings to verify documentation, ensure form accuracy, and provide procedural guidance to new hires.
  • Assist in planning, coordinating, and implementing Human Resources projects, initiatives, and special events.
  • Support New Employee Orientation (NEO) by preparing materials, coordinating logistics, and delivering HR presentations to new hires.
  • Collaborate with HR staff to ensure successful execution of departmental programs and initiatives.
  • Perform other classification-related duties and special projects as assigned to support departmental goals and operational excellence.
