This position manages the leave process, ensuring compliance with federal and state rules, laws, and district contract language. This includes providing support to the attendance specialist. Provides exceptional customer service to employees, managers, and HR team members.

Requirements

  • High school diploma or GED equivalent
  • 1 year experience in Human Resources, administration, data entry or similar field.

Responsibilities

  • Processes employee leave requests in accordance with state and federal laws and contractual obligations.
  • Manage the leave administration process from the employee’s initial notice of the need for a leave through the employees return to work and possible short-term restrictions.
  • Determine leave eligibility and designating applicable leaves that qualify under state and federal programs including but not limited to FMLA qualifying and MN Parental Leave qualifying.
  • Request supporting documentation for leaves as needed, ensuring that HIPAA and Employee Privacy guidelines are adhered to at all times.
  • Provides leave data to Teacher’s Retirement Association.
  • Coordinates the return to work between employee and manager, including validating temporary work restrictions and accommodations.
  • Coordinates leave process with worker’s compensation analyst, including pay eligibility and benefits.
  • Manages employee benefit eligibility while on a leave of absence and provides COBRA notification, when applicable.
  • Approves and denies leaves based on provided documentation, contractual obligations, and state and federal leave laws.
  • Serve as a subject matter expert for medical and parental leaves in alignment with the general direction and guidance of HR leadership, bargaining contracts, and the legal department.
  • Develops leave calendars that clearly outline how an employee will use their paid and unpaid time off as well as documents concurrent leave programs being used.
  • Tracks employee leaves including accounting for intermittent and reduced schedule leave use.
  • Communicates via email, written documentation, in person, and over the phone with employees and managers regarding their needs for leave and/or modified work schedules or restrictions.
  • Advises managers and employees on applicable leave laws and available contractual leaves available based on specific employee needs.
  • Creates and maintains leave documentation including employee communications, internal processes and best practices.
  • Informs HR Business Partners of employee benefit premiums that need to be paid upon employees return to work.
  • Partners with payroll staff to review pay and leave calendars, providing direction to payroll on employee pay during their leaves.
  • Proactively produces and manages leave related reporting metrics and presents to HR leadership as requested.
  • Makes recommendations to revisions to company leave practices in bargaining contracts based on best practices and changing state and federal guidance.
  • Process and manage employee Long-Term disability claims in accordance with the Districts’ policy.
  • Manage the long-term disability process from the employee’s initial eligibility through the term of the disability.
  • Partner with employees through the long term disability application process, ensuring that LTD claims are coordinated with the carrier and employees timely and accurately.
  • Provide documentation and updates in coordination with the LTD carrier to expediate claims and approval/denial process.
  • Serve as a subject matter expert and liaison between employees and the LTD carrier for long-term disability eligibility and questions.
  • Develop leave calendars that depict how an employees available paid time off may be used in conjunction with LTD payments.
  • Serves as a backup to support the HR Attendance Specialist responsibilities.
  • Monitors continuous building subs, ensuring coverage to support building needs.
  • Administers short term employee leave requests including bereavement, jury duty, short-term leave, and union leave.
  • Tracks District high usage days, capping paid time off requests to ensure compliance with usage ratios as outlined in bargaining contracts.
  • Monitors employee paid time off usage, notifying employees and managers of paid time off over usage and advising payroll of corresponding pay deductions.
  • Processes sick leave pool donation transactions and communicates low pool balance to HR Coordinator
  • Performs other comparable duties of a like or similar nature as assigned.
