About The Position

The Human Resources Generalist is responsible for supporting the day-to-day operations of the Human Resources department while ensuring compliance with all federal, state, and company policies. This position serves as a resource to employees and managers by providing guidance on employment matters, coordinating onboarding and recruiting efforts, maintaining personnel records, administering benefits, conducting workplace investigations, and fostering positive employee relations. The HR Generalist plays a key role in creating a professional, compliant, and employee-focused workplace that supports the organization’s mission of providing exceptional behavioral healthcare.

Requirements

Minimum of 2–4 years of Human Resources experience required.
Experience conducting employee investigations strongly preferred.
Experience in healthcare, behavioral health, or substance use treatment preferred.
Experience with HRIS systems, applicant tracking systems, and benefits administration preferred.
Strong knowledge of employment laws and HR best practices.
Understanding of Massachusetts employment laws, including PFML, Wage Act, Earned Sick Time, ADA, FMLA, and other employment regulations.
Excellent verbal and written communication skills.
Strong organizational and time management abilities.
Ability to maintain strict confidentiality.
Strong interpersonal and conflict resolution skills.
Excellent investigative interviewing and documentation abilities.
Ability to prioritize multiple projects in a fast-paced environment.
Strong attention to detail.
Proficiency with Microsoft Office Suite and HRIS software.
Ability to sit, stand, walk, and use a computer for extended periods.
Ability to occasionally lift up to 25 pounds.
Ability to travel between company locations as needed.

Nice To Haves

Bachelor’s degree in Human Resources, Business Administration, or related field preferred.

Responsibilities

Coordinate all pre-employment and onboarding activities for new hires.
Prepare offer letters and new hire documentation.
Facilitate new employee orientation and ensure timely completion of required onboarding tasks.
Verify employment eligibility and complete Form I-9 documentation.
Coordinate background checks, CORI checks, OIG exclusions, license verification, and reference checks.
Ensure all required credentials and compliance documents are received prior to employment.
Process employee status changes including promotions, transfers, leaves of absence, and separations.
Conduct exit interviews and coordinate offboarding procedures.
Serve as a trusted resource for employees and supervisors regarding workplace concerns.
Assist managers with performance management, coaching, disciplinary actions, and corrective action documentation.
Promote respectful workplace practices and conflict resolution.
Respond to employee questions regarding company policies and procedures.
Maintain confidentiality while handling sensitive employee information.
Support employee recognition, engagement, and retention initiatives.
Conduct prompt, thorough, and impartial investigations involving employee complaints, policy violations, harassment, discrimination, workplace misconduct, attendance concerns, and other employee relations matters.
Interview employees and witnesses while documenting findings objectively.
Review evidence including documentation, electronic communications, schedules, time records, and other relevant information.
Prepare written investigation summaries and recommendations.
Partner with HR leadership to determine appropriate corrective actions while ensuring consistency and legal compliance.
Assist employees with benefit enrollment and eligibility questions.
Coordinate new hire, qualifying life event, and annual open enrollment processes.
Process benefit changes with insurance carriers and HRIS systems.
Assist employees with leave programs including FMLA, Massachusetts PFML, ADA accommodations, Workers’ Compensation, and other protected leaves.
Maintain accurate benefit records and documentation.
Post job openings across recruitment platforms.
Screen applications and coordinate interviews.
Communicate with candidates throughout the hiring process.
Participate in job fairs and recruitment events.
Maintain applicant tracking records.
Support hiring managers in identifying qualified candidates.
Ensure compliance with federal, state, and local employment laws.
Assist with Joint Commission, BSAS, DMH, DPH, OSHA, HIPAA, and other regulatory requirements as applicable.
Monitor employee licenses, certifications, annual trainings, and required documentation.
Maintain accurate HR records in accordance with legal retention requirements.
Assist with HR audits and regulatory inspections.
Support policy development and implementation.
Maintain complete, organized, and confidential employee personnel files.
Ensure personnel records are accurate, current, and compliant with record retention requirements.
Process employment verification requests.
Maintain HRIS data integrity and employee information.
Prepare reports, spreadsheets, and HR metrics as requested.
Ensure confidentiality of all employee records and information.
Manage the day-to-day administrative operations of the office to ensure an organized, efficient, and professional work environment.
Order and maintain adequate inventory of office supplies, forms, and departmental materials for all locations as assigned.
Track supply usage and monitor inventory levels to ensure timely replenishment while maintaining cost-effective purchasing practices.
Receive, organize, and distribute office supplies, mail and shipments to appropriate departments.
Monitor office equipment and coordinate maintenance or service requests as needed.
Assist with workspace preparation for new hires, including coordinating office supplies, equipment, and other necessary materials.
Track departmental expenditures related to office operations and maintain accurate purchasing records.
Reconcile invoices, receipts, and supporting documentation for office purchases and ensure all required documentation is complete.
Prepare and submit receipts, invoices, expense reports, and other financial documentation to the Accounting department in accordance with company procedures and established deadlines.
Assist with monitoring office supply budgets and identify opportunities for cost savings and operational efficiencies.
Support facility-wide administrative needs by coordinating office resources and assisting departments with operational requests.
Perform other administrative and operational support duties as assigned.
Assist with HR projects and organizational initiatives.
Support employee engagement programs, recognition events, and wellness initiatives.
Participate in committee meetings and organizational trainings.
Perform additional duties as assigned.
