About The Position

The Human Resources Director, Executive Assistant to the Superintendent, and Governing Board Administrative Assistant provides highly responsible administrative, human resources, and board governance support to ensure the efficient operation of the District. This position serves as a confidential administrative partner to the Superintendent, coordinates District human resources functions, and provides administrative support to the Governing Board. The employee exercises independent judgment, maintains confidentiality, and serves as a liaison among district leadership, staff, community members, government agencies, and the Governing Board.

Requirements

  • Three (3) years of progressively responsible administrative support experience.
  • Experience in human resources, education administration, or public sector administration preferred.
  • Experience supporting executive leadership and/or governing boards preferred.
  • Equivalent combination of education and experience may be considered.
  • Valid Arizona Fingerprint Clearance Card.
  • Valid Arizona driver's license or ability to travel as required.
  • Any certifications required by district policy or state law.

Responsibilities

  • Oversee the recruitment, hiring, onboarding, and employee orientation processes.
  • Maintain personnel records in accordance with federal, state, and district requirements.
  • Coordinate job postings, applicant tracking, interview scheduling, and employment recommendations.
  • Prepare employment contracts, personnel action forms, and related documentation.
  • Coordinate and maintain employee lifecycle transactions, including onboarding, transfers, resignations, retirements, and employment separations.
  • Oversee all employee certification, fingerprint clearance verification, and personnel compliance requirements.
  • Provide guidance and support to employees throughout the initial application and renewal processes to maintain compliance with Arizona Department of Education requirements.
  • Provide guidance and support to principals, directors, and supervisors on employee performance issues and employee relations matters.
  • Monitor and maintain employee leave records and personnel databases.
  • Oversee compliance with employee evaluations and contract renewal processes.
  • Responsible for employee benefit enrollment, setup, and communication.
  • Respond to employee inquiries regarding district policies, procedures, and employment matters.
  • Prepare personnel reports and data for district leadership, audits, and state reporting.
  • Process Family and Medical Leave Act (FMLA) and Workers' Compensation claims and related documentation; coordinate timelines, required paperwork, and communication with employees, supervisors, medical providers, and third-party administrators.
  • Support payroll operations as needed.
  • Maintain confidentiality regarding personnel matters and employee records.
  • Administer and oversee Title IX compliance functions, including receiving and documenting reports, coordinating investigations and grievance processes, maintaining confidential records, tracking compliance timelines, providing training support, and ensuring adherence to district policies, federal and state laws, and legal requirements.
  • Provide comprehensive administrative support to the Superintendent.
  • Support the Superintendent's calendar, appointments, meetings, travel arrangements, and correspondence.
  • Prepare reports, presentations, agendas, letters, and various district communications.
  • Serve as a liaison between the Superintendent and district staff, community members, government agencies, and outside organizations.
  • Coordinate district-wide meetings, administrative meetings, and special events.
  • Screen phone calls, visitors, and requests directed to the Superintendent's Office.
  • Conduct research and compile information for reports, projects, and presentations.
  • Assist in preparing and monitoring departmental budgets as assigned.
  • Maintain official district records and administrative files.
  • Support district strategic planning and special projects.
  • Coordinate Governing Board meetings, study sessions, retreats, and special meetings.
  • Prepare and distribute Governing Board agendas and supporting materials in accordance with Arizona Open Meeting Law requirements.
  • Record and prepare official meeting minutes.
  • Maintain official Governing Board records, policies, resolutions, and historical documents.
  • Publish meeting notices and materials as required by law.
  • Coordinate communication between Governing Board members and district administration.
  • Process requests for public records related to Governing Board matters.
  • Maintain board member training records and governance documentation.
  • Assist with election-related processes, appointments, and board member onboarding when applicable.
  • Ensure compliance with state statutes, district policies, and governance procedures.
