About The Position

The Human Resources Clerk is responsible for performing various administrative tasks for the Human Resources department, with a primary focus on maintaining internal credentialing and staff appointments to meet the organization’s internal compliance requirements. This role involves maintaining employee personnel and credentialing files, collecting, reviewing, scanning, and organizing documentation, and entering/updating employee data in the HR information system (HRIS). The clerk will manage the administrative duties for the internal credentialing process for all providers, ensuring compliance with State and Federal regulations, and maintaining accurate provider credentialing files. They will also perform primary source verification, provide notifications and assistance to providers regarding licensure, prepare files for the credentialing committee, and communicate provider information internally. Additionally, the role requires tracking provider documentation and expiration dates, sending renewal reminders for licenses, I-9s, orientations, and competencies, and adhering to written procedures and deadlines. Data entry for various HR-related information is a key responsibility, as is assisting the HR team with clerical duties such as booking rooms, processing purchase orders, handling personal information changes, printing badges, responding to employment verification requests, and assisting with audits. The HR Clerk will monitor the HR inbox and eFax, distribute correspondence, and answer basic HR-related questions from employees. Adherence to the Attendance and Absenteeism Policy and the ability to work at any FHCN location are also essential.

Requirements

  • Possesses work-related skills at a higher level than completion of high school, including formal written and verbal communications skills, computational and computer skills, mathematical, technical or health care related knowledge frequently acquired through completion of a trade school, para-professional, or certificate type program.
  • Minimum of two years of experience in progressive clerical or administrative responsibility.
  • User knowledge of HR technologies, knowledge of databases, and spreadsheets.
  • Ability to prepare more complex documents in Microsoft Word, including creating tables, charts, graphs and other elements.
  • Ability to use Microsoft Excel to review and compile data, including the use of formulas, functions, lookup tables and other standard spreadsheet elements.
  • Ability to create basic presentations in Microsoft PowerPoint.
  • Job duties require the compilation of information prepared in effective written form, including correspondence, reports, articles or other documentation.
  • Effectively conveys technical information to non-technical audiences.

Nice To Haves

  • Completion of an Associate’s Degree program with a recognized major and a minimum cumulative GPA of 2.5 preferred.
  • If an individual has completed a degree at a higher level than required by the role and had a stronger GPA in that program, they may provide proof of GPA from that degree in lieu of the high school diploma or Associate’s degree.

Responsibilities

  • Maintaining employee personnel and credentialing files.
  • Collecting, reviewing, scanning, and organizing credentialing applications and required documentation.
  • Entering and updating employee data in the HR information system (HRIS).
  • Performing administrative duties to complete the internal credentialing process for all providers upon hire, appointment, and reappointment, ensuring compliance with State and Federal regulations.
  • Ensuring provider credentialing files are accurate and updated in the provider master database.
  • Performing or coordinating primary source verification (PSV) of credentials, professional licenses, certifications, registrations, education, training, and work history.
  • Providing reminder notifications and assisting providers with obtaining licensure/DEA.
  • Preparing and ensuring provider files are complete for presentation to the credentialing Committee and board appointment.
  • Communicating designated provider information to all internal departments accurately and timely.
  • Tracking all provider documentation and expiration dates for licenses, DEA registrations, certification, and other required documents, and important notifications, to ensure compliance with the regulatory and monitoring requirements for the organization.
  • Tracking and sending renewal of license reminders, I-9 documentation reminders, department orientation and competency reminders, PPD and CPR renewal notifications for employees and non-employees.
  • Following written procedures and meeting assigned deadlines.
  • Performing various data entry duties, including entering PPD, CPR, department orientation, competencies, licenses, benefit enrollment, and other data as assigned.
  • Assisting the team with department clerical duties, including booking meeting rooms, submitting purchase orders, processing employee personal information changes, printing employee and non-employee badges, responding to verification of employment requests, and assisting with audits.
  • Monitoring HR inbox and eFax.
  • Distributing correspondence to appropriate HR team members.
  • Assisting employees with HR related questions or referring them to appropriate HR team members.
  • Adhering to the Attendance and Absenteeism Policy.
  • Ability to present to and work at any FHCN location, both at the beginning of a shift or during a shift, based on business need.
  • Performing other duties as assigned.
