About The Position

The Human Resources Benefits Administrator is responsible for the effective administration and management of the organization’s employee benefits programs, including medical, dental, vision, life insurance, and retirement (401(k) plans. This role ensures benefit offerings remain compliant, cost-effective, and aligned with the organization’s mission. The Benefits Administrator serves as the primary point of contact for all benefits-related matters, leads the annual open enrollment process, manages vendor relationships, and coordinates benefits education initiatives. In addition, this position will oversee the agency’s wellness program to support employee well-being, engagement, and work-life balance.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • Minimum of 3-5 years of experience in benefits administration, including open enrollment and vendor management.
  • Strong understanding of group health, retirement plan compliance, and related regulations.
  • Proficiency with HRIS and benefits platforms; familiarity with ADP Workforce Now preferred.
  • Excellent organizational, problem-solving, and both written and oral communication skills.
  • High attention to detail with a strong commitment to confidentiality and secure handling of sensitive documents.
  • Ability to coordinate personnel functions and work effectively with individuals from diverse social, ethnic, and economic backgrounds.
  • Experience in a nonprofit or healthcare setting preferred.
  • Bilingual (English/Spanish) preferred but not required.
  • Ability to multitask, prioritize assignments, and meet deadlines.
  • Willingness and ability to travel to different sites as needed.

Responsibilities

  • Administer and manage employee benefit programs, including health, dental, vision, life insurance, and 401(k) retirement plans.
  • Plan and execute the annual open enrollment process, including employee communications, system updates, timelines, and issue resolution.
  • Serve as the primary liaison with benefits carriers, brokers, and third-party vendors.
  • Respond to employee inquiries regarding benefit eligibility, coverage, claims, and plan options, providing clear and timely support.
  • Coordinate benefits onboarding for new hires and support benefit changes throughout the year due to qualifying life events.
  • Maintain accurate and up-to-date benefits data in the HRIS; audit records regularly for compliance and accuracy.
  • Review and reconcile monthly benefits invoices; coordinate with Payroll and Finance to ensure timely payment.
  • Monitor trends in benefit utilization and employee feedback; recommend improvements or cost-containment strategies.
  • Ensure full compliance with federal and state benefits regulations (ERISA, ACA, HIPAA, IRS guidelines, etc.).
  • Assist in preparing benefits reports, summaries, and dashboards for HR leadership.
  • Oversee the agency’s wellness program, including program design, employee engagement initiatives, and evaluation of outcomes to promote a culture of health and well-being.
