About The Position

The Human Resources Assistant provides broad-based administrative and operational support to the human resources department, with a primary focus on supporting recruiting, onboarding and compliance activities. This role involves assisting with employee recruiting, ensuring pre-employment tasks and documentation are complete, and processing employee lifecycle transactions in the HRIS system. The assistant will also maintain personnel files, support contract renewals, and serve as a central point of contact for the HR office, responding to routine inquiries and routing specialized assistance. Additionally, this position will help develop tools and resources to improve the employee experience and HR service delivery, while maintaining confidentiality and handling sensitive information with professionalism.

Requirements

  • High school diploma
  • Two (2) years’ experience serving in an HR role or supporting HR operations
  • Proficient in Microsoft Office applications
  • Ability to enter data accurately, timely and consistently
  • Ability to be detail-oriented despite competing priorities/deadlines
  • Knowledge of basic office workflows
  • Must possess sound judgement
  • Ability to manage a high-volume workload using effective time management skills to plan, prioritize and organize work to meet deadlines, both internal and external
  • Demonstrated ability to follow-through and follow-up timely

Nice To Haves

  • Prior work experience in higher education
  • Prior experience with HRIS systems (Banner and/or Oracle), DocuSign, Dynamic Forms and other web-based systems or applications

Responsibilities

  • Assist with employee recruiting activities, including generating pool postings, closing job searches, and initiating background checks.
  • Ensure all pre-employment tasks and documentation are complete, including sending/receiving new hire documents and initiating pre-onboarding communications.
  • Complete I-9 verifications for new employees, including scheduling and tracking off-site verifications, and maintain/audit I-9 records.
  • Process employee lifecycle transactions in the HRIS system, including assigning employee ID numbers, creating new employee profiles, and updating records with status changes and separations.
  • Create and maintain all physical personnel files, including archiving records in accordance with system retention and purge schedules.
  • Ensure filing is completed timely and file rooms are organized.
  • Assist with annual temporary personnel and faculty contract renewal processes.
  • Partner with HR team members to support the College’s new employee onboarding program, special projects, and day-to-day operations.
  • Serve as the central point of contact for the office by monitoring the main telephone line and general HR inbox, responding to routine questions and routing inquiries to appropriate HR team members.
  • Assist with developing tools, resources, and communication pathways that improve the employee experience and delivery of HR services.
  • Maintain confidentiality and handle sensitive employee information with professionalism and discretion.
