About The Position

The Human Resources Assistant supports the Human Resources Manager with the administration of day-to-day operations of the Human Resources Department.

Requirements

  • High School Diploma or GED required
  • 1 year of human resources or related experience
  • Advanced proficiency in administrative functions with well-developed written and verbal communication skills
  • Competency in Microsoft Office Suite (Word, Excel, Outlook, etc.)
  • Sensitivity and sound judgment to properly handle and maintain confidential information
  • Human Resources knowledge and skills, and Environmental, Health and Safety knowledge
  • Strong interpersonal skills
  • Ability to manage a variety of assignments requiring diverse skills, including highly sensitive and confidential information
  • Ability to complete assignments on short timelines with little advance notice
  • Valid Hawaii driver’s license
  • Regular, reliable, and punctual attendance consistent with assigned work schedule
  • Must follow instructions and all safety policies and procedures, and work cooperatively as part of a team
  • Must understand and carry out oral and written instructions
  • Must be able to skillfully operate standard office equipment on a regular basis
  • Requires basic reading, writing, math, and problem-solving skills
  • Requires a considerable amount of sitting, standing, walking, bending, and occasional light lifting (not exceeding 30 lbs)
  • Strong oral and interpersonal skills to interact professionally and courteously with co-workers and the public
  • Ability to work under deadlines and occasional pressure, exercise sound judgment, and work independently with minimal supervision

Responsibilities

  • Greet applicants and provide necessary application forms
  • Assist with contacting and scheduling interviews with prospective candidates
  • Support completion of new employee onboarding packets and facilitate orientation
  • Ensure all new hire paperwork is completed accurately and on time
  • Create and maintain new employee personnel files
  • Facilitate and participate in employee safety, wellness, and health reporting and employee services
  • Accurately maintain personnel files and the HR filing system in accordance with services, policies, and procedures
  • Create, maintain, and ensure DOT driver’s files are compliant with regulations
  • Maintain medical and dental files, ensuring additions and terminations are accurate
  • Respond to employment verification requests
  • Maintain accurate inventory of employee uniforms
  • Answer telephone inquiries
  • Track and schedule drug screenings and/or DOT physicals
  • Open and review all incoming Human Resources mail
  • Post required notices, announcements, posters, and logs at company worksites per state and federal labor law requirements
  • Assist with preparation and processing of workers’ compensation, temporary disability, and accident claims and reports
  • Answer employee questions regarding benefits and other HR matters
  • Prepare memoranda and letters relating to human resources matters as directed by the HR Manager
  • Inform employees of eligibility, verify validity of claims forms, and maintain benefit records
  • Assist with implementation of EEO and affirmative action program plans
  • Maintain positive communication and relationships with employees to promote satisfaction
  • Assist with maintaining company insurance certificates
  • Complete other related duties as assigned by the HR Manager
