About The Position

Under the direct supervision of the HR Manager, this position provides administrative and secretarial support for the HR Manager and corporate office. In addition to typing, filing, and scheduling, performs duties such as record keeping, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize a diversified workload, and recommends changes in office practices or procedures.

Requirements

  • Associates Degree preferred.
  • Two years of administrative/office or related experience.
  • Must have a thorough knowledge of and responsibility for a total office operation.
  • Understanding of organizational policies and procedures must be demonstrated by regular relating of information regarding Agency policies and procedures via telephone, in person and/or correspondence.
  • Knowledge of the Agency mission, goals, and objectives to carry out assignments.
  • Synthesize complex or diverse information; collect and researches data; use intuition and experience to complement data; design work flow and procedures.
  • Identify and resolve problems in a timely manner; gather and analyze information skillfully; develop alternative solutions; work well in group problem solving situations; use reason even when dealing with emotional topics.

Responsibilities

  • Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the department.
  • Establishes, develops, maintains and updates filing system for the HR Manager and the agency. Retrieves information from files when needed. Establishes, develops, maintains and updates files.
  • Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, at the request of the HR Manager, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures.
  • Maintains documentation of services including service plans, progress notes, medication informed consent, quarterly treatment plan reviews, and other required information in compliance with agency and third-party compliance standards.
  • Completes other duties as may be assigned by the immediate supervisor that are consistent with the responsibilities of the position.
