About The Position

Under the direction and supervision of the Director of People and Culture, the Human Resources (HR) Assistant will assist with the day-to-day operations of the HR functions. This role will be responsible for a wide range of activities, including employee record-keeping, recruitment, and onboarding/offboarding.

Requirements

  • Excellent organizational skills, time management skills, and attention to detail.
  • Outstanding written and verbal communication skills.
  • Proficiency in Microsoft Word, Excel, Outlook, Zoom, etc.
  • Adept problem-solving, including proactively identifying issues and recommending resolutions in a timely manner while keeping all matters confidential.
  • Knowledge of current employment laws and practices, as well as human rights legislation and provincial and federal legislation.
  • Demonstrated experience working with an HRIS or HRMS.
  • Satisfactory Criminal Record Check with Vulnerable Sector Search required.
  • Child Abuse Registry Check required.

Nice To Haves

  • Experience tracking time and attendance for a large organization is considered an asset.
  • Experience working in Human Resources with First Nations or First Nations organizations.
  • Knowledge of First Nation culture, history, and issues.

Responsibilities

  • Monitor employee attendance, work hours, overtime, holiday pay, and other prescribed leaves in the employee database/HRIS.
  • Engage with managers to verify time and attendance submissions, including, but not limited to, overtime, leaves, and payroll deductions, before they are submitted to payroll.
  • Identify and resolve time and attendance discrepancies with the employee, manager, and payroll.
  • Assist in preparing documentation for all payroll submissions, including the employee action form, payroll changes, address changes, etc.
  • Ensure that appropriate authorizations, supporting documentation, and compliance with company policy and procedures are achieved.
  • Verify all payroll registries to what was submitted for processing to ensure accurate information.
  • Respond to all inquiries regarding employee time tracking, leaves, overtime, and holiday pay.
  • Oversee the time and attendance tracking system, recommending changes, upgrades, or improvements to ensure optimum efficiency.
  • Update, maintain and organize electronic and hard copy employee records.
  • Monitor and update employee changes, including but not limited to banking changes, name changes, and salary changes.
  • Provide confidential administrative support to the HR department by filing, photocopying, and answering inquiries related to Human Resources via email, phone, or in person.
  • Onboarding/Offboarding process as per HRIS.
  • Other duties as assigned.
