About The Position

EAC Network, a leading not-for-profit social service agency, is seeking a dedicated full-time HR Coordinator for its Human Resources Department. This role provides comprehensive operational and administrative support in a fast-paced environment. The HR Coordinator is responsible for maintaining HRIS and employee data accuracy, supporting employee lifecycle transactions, assisting with payroll and timekeeping, coordinating benefits and communications, and liaising with internal departments. The ideal candidate is highly organized, detail-oriented, self-directed, and possesses strong problem-solving skills, initiative, and sound judgment.

Requirements

  • Minimum of two years of progressively responsible professional experience in Human Resources (HRIS, Payroll, HR Administration & Data Management, Benefits & Leave Support, and Employee & Manager Support).
  • Advanced Excel experience required.
  • Proficient in computer applications or other automated systems such as spreadsheets, Microsoft 365 applications.
  • Excellent verbal and written communication and organizational skills.
  • Strong technical and digital fluency, including use of AI tools, Canva/Adobe for content creation, and platforms like Jotform to build and manage workflows.
  • Strong attention to detail and ability to review work for accuracy and completeness before processing, submitting, or distributing information.
  • Demonstrated problem-solving and critical-thinking skills, including the ability to identify discrepancies, research available resources, apply established procedures, and determine appropriate next steps.
  • Strong ability to prioritize and manage multiple competing responsibilities, deadlines, and time-sensitive assignments in a fast-paced office environment.
  • Maintain strict confidentiality of employee records and sensitive HR information.
  • Regular in-office (Garden City, NY) presence required, typically 4 days per week, based on operational needs, with flexibility in scheduling.

Responsibilities

  • Maintain the accuracy, quality, consistency, and integrity of HRIS, employee, payroll, and benefits-related records.
  • Provide timely and professional support to employees, supervisors, Human Resources, Finance, and other internal stakeholders.
  • Effectively manage multiple competing priorities and deadlines, particularly those related to payroll, employee lifecycle, benefits, and compliance.
  • Take ownership of assigned responsibilities and proactively monitor tasks, deadlines, discrepancies, and pending items through completion or escalation.
  • Apply established procedures, prior training, process guides, and available resources to independently perform routine job responsibilities and resolve issues.
  • Review Personnel Action Forms (PAFs), employee transactions, and supporting documentation for accuracy and completeness before processing.
  • Verify applicable employment status, effective dates, compensation, accrual profiles, benefits-related information, termination details, and other required employee data.
  • Monitor and proactively follow up on time-sensitive employee lifecycle events, including new hires, terminations, status changes, temporary employee end dates, benefits changes, and other personnel actions.
  • Run scheduled reports and create reports as needed.
  • Keep abreast of new HRIS system improvements, communicate changes to HR and supervisors, and integrate them into current processes and procedures.
  • Identify opportunities to improve Human Resources processes, systems, and operations, and assist with implementation.
  • Track agenda items for regular calls with Paycom and lead the implementation of business process changes and coordinate the resolution of system issues.
  • Troubleshoot, analyze, detect, identify, and correct technical problems and deficiencies.
  • Support payroll operations by monitoring outstanding timecards and approvals, communicating with employees and supervisors regarding missing or inaccurate information, and ensuring required follow-up is completed.
  • Process, review, and maintain labor allocations and employee program coding accurately and within established deadlines, coordinating with the Payroll Manager and Finance Department.
  • Identify discrepancies and take appropriate action to resolve issues or escalate them.
  • Deliver finance bank deposits approximately 4 times per year.
  • Manage HR/Internal Operations credit card reconciliation, prepare monthly backup and statements, and ensure timely and accurate submission of documentation.
  • Ensure timely completion of employee separation-related responsibilities, including HRIS transactions, employee communications, benefit notifications, COBRA reporting, PTO payouts, and supporting documentation.
  • Create and update all benefit statements, termination policies related to benefits, report new hires and terminations to the COBRA carrier, assist with drafting Leave of Absence paperwork, and update benefit-related trackers.
  • Assist with processing invoices related to benefits, payment requests, or other administrative tasks.
  • Compile and submit information related to unemployment claims to third parties.
  • Complete employment verifications.
  • Request modifications to IT/network access for new hires/terminations.
  • Work with the IT vendor on email account administration for new hires and terminations.
  • Provide support to the recruitment team, including sharing benefit statements with new hires, position management in Paycom system, creating promotion letters, and collecting job descriptions.
  • Track and maintain employee certification and compliance requirements, including monitoring expiration dates, sending reminders, and ensuring records are up to date.
  • Support agency compliance with funder, regulatory, and contract requirements, including maintaining background check, clearance, and mandated-reporter documentation, and assembling personnel records for reviews.
  • Assist with wellness programming and respond to wellness-related questions.
  • Create HR communications and content, including wellness content, and distribute via Teams, email, and the semi-monthly newsletter.
  • Perform other duties as assigned by supervisor.
