About The Position

The part time HR Assistant will support operations, enabling the Manager to focus on strategic priorities. Responsible for providing a wide variety of general administrative support functions for the Human Resource Department.

Requirements

  • Must have a high school diploma or equivalent with one (1) to two (2) years of related experience.
  • Possess a high degree of integrity and ability to maintain confidentiality.
  • Must have excellent problem-solving, organizational, interpersonal, written, and verbal communication skills.
  • Ability to be flexible, multi-task, and meet deadlines.
  • CPR, First Aid, and AED Certification required within 90 days of employment.

Nice To Haves

  • Basic understanding and knowledge of human resources practices within the workplace is preferred.
  • Ability to work in a fast-paced environment with frequent interruptions and maintain a positive and team-oriented attitude.
  • Working knowledge of human resources Software and Microsoft Office software is preferred.

Responsibilities

  • Process onboarding paperwork (offer letters, criminal background checks, physicals), collect documentation, maintain personnel files.
  • Assist with payroll data (W 2s, IMRF reporting, COBRA/FMLA paperwork), coordinate employee enrollments, and handle routine benefits inquiries. Distribute benefits communication and support open enrollment logistics.
  • Support drafting and annual updating of employee manuals, and equity communications.
  • Maintain HR databases, generate routine reports, monitor headcount, turnover, vacancy tracking, training logs, and compliance record- keeping.
  • Organize informational materials, support orientation sessions, and coordinate employee surveys or intake processes.
  • Employee spotlights, mentorship program, and staff communication.
  • Assist with open enrollment. Ensure annual elections are up to date in payroll for new calendar year.
  • Ensure open enrollment for any retirees is completed each December and payment for ongoing coverage is set up either through IMRF or the retiree themselves.
  • Assist with conducting reference checks, employment verification, drivers abstracts and background checks for prospective employees.
  • Submit PlanSource check request for retiree’s health coverage payments and manage adjusting journal entries.
  • Manage staff enrollment/termination for IMRF.
  • Be knowledgeable about and able to assist staff with interpretation of personnel policies and procedures.
  • Maintain and submit OSHA 300 log annually.
  • Assist with quarterly and annual IMRF and ACA part-time employee hour review with supervisors.
  • Assist with projects including compensation and government surveys.
  • Coordinate job fair opportunities and recruiting events within and outside the District, and support supervisor participation.
  • Service award management. Work with the Administrative Assistant to coordinate staff service awards annually.
  • Coordinate the District’s volunteer program including data base management, recruitment, communication of volunteer opportunities, training, paperwork, and connecting volunteer with appropriate supervisors.
  • Maintains employee confidence and protects operations by keeping HR information confidential. Ensures employee information will only be used for the purposes of performing their job responsibilities and for no other purpose.
