While engineers build cutting-edge perception algorithms, the Operations and HR teams ensure the company runs smoothly. MaxInsights is a fast-growing, highly collaborative startup that prioritizes speed and impact, while maintaining a relaxed, high-trust environment. The company is seeking an execution-minded, friendly, and outgoing HR Assistant to join their team in Santa Clara. This is a full-time, hourly position for someone eager to learn about startup operations, human resources, administration, and recruiting. The role involves supporting hiring pipelines, maintaining the office environment, and assisting with candidate and recruiter management.

Requirements

  • Highly organized, detail-oriented, and a people-person.
  • Comfortable using standard office software (Excel, Google Workspace).
  • Excited to learn how to operate an ATS (Applicant Tracking System).
  • Self-driven, reliable, and comfortable wearing a few different hats in a startup environment.

Nice To Haves

  • Proficiency or fluency in Chinese (Mandarin) is a major plus for communicating with various team leads and global operations.

Responsibilities

  • Work directly in the Applicant Tracking System (ATS) to manage candidates, post open roles, source potential talent, and schedule interviews or introductory calls for team leads.
  • Coordinate on-site interviews with staff, assist with quick check-ins, track daily attendance, collect basic paperwork, and keep the schedule organized.
  • Keep the office running smoothly by coordinating office perks (planning afternoon teas, team-building dinners, and tracking free lunch and dinner programs) and managing/tidying essential office supplies.
  • Assist with maintaining basic personnel records, answering general employee questions, and helping onboard new team members.
