About The Position

This position requires an active Secret clearance or the ability to obtain a Secret clearance to be considered. Provide support to the HR Program Specialist Support Services in the Bureau of Western Hemisphere Affairs, Human Resource Office. Primary responsibilities include managing awards and intern programs, coordinating staff check-in/check-out, generating reports, program management, and maintaining communication with stakeholders on processes and deadlines.

Responsibilities

  • Assist in the coordination and processing of Schedule C and career and non-career presidential appointments, including gathering required documentation and ensuring compliance with applicable regulations.
  • Liaise with relevant offices to facilitate onboarding and orientation for Schedule C and presidential appointees.
  • Maintain accurate records of appointments and provide updates to leadership as needed.
  • Support personnel data management by initiating records in designated systems, ensuring accuracy and compliance with organizational standards and policies.
  • Monitor and update records as needed, including resolving discrepancies and maintaining data integrity.
  • Assist WHA Family Member Employment Coordinators (FMEC) by providing guidance to recruitment specialists at Posts, help ensure that requests are properly filled out with the correct information, maintaining SOPs and cable templates, and a library of FAQs.
  • Assist with generating personnel reports or trackers for the section that track the status and progress on multiple human resources related issues for bureau employees.
  • Assist with managing the WHA Reemployed Annuitant (REA) program by providing program information to prospective REAs, assembling and submitting to GTM/TS packets of required documents for new applicants as well as for annual extensions, coordinating assignments with domestic offices and EX/FRC, developing position descriptions, and maintaining files and trackers for the program.
  • Review EX/HR SharePoint site monthly and update links and information on site with section SMEs.
  • Assist in creating personnel reports or trackers to monitor the status and progress of various HR-related matters for bureau employees.
