Summary The HR Specialist is a key member of the Human Resources team supporting the entire enterprise. This is an exciting role reporting to our Director, HR Operations. This position focuses on operational aspects of the department with a primary responsibility in Benefits, Onboarding and Employee Inquiries. We are seeking someone with analytical savvy with experience in the benefits area and has an interest in creating a positive impact on our employee experience.

Requirements

  • 4-year college degree is preferred.
  • Minimum of 3 years of HR experience with a concentration in Benefits Administration.
  • Experience in Leave Administration including FMLA (Family Medical Leave Act), STD, and LTD administration.
  • Experience in a HR Shared Services or HR Operations environment preferred.
  • Ability to execute in a fast-paced environment while balancing multiple priorities.
  • Solid verbal and written communication skills along with effective time-management
  • Strong team player with both internal and external partners; but able to work independently with minimal direction.
  • Detail oriented and data driven.
  • Experience with an HRIS (Human Resources Information System) system (UltiPro is preferred but not required)
  • Highly proficient in Microsoft Office, in particular with Outlook, Excel (formatting and advanced formulas), Word and PowerPoint
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Responsibilities

  • Manage daily administration of current benefit programs to include all health and welfare plans, Wellness program, leave and disability, tuition reimbursement, and 401K.
  • Maintain employee benefits files and detailed records of employee benefits plans.
  • Oversee the processing of monthly billings for all group plans and ensuring strict compliance with HIPAA.
  • Discuss benefit options with new employees and process benefit enrollments for new hires and life events.
  • Manage Safety Boot and Tool Benefit Plans, inclusive of regular audits and outreach to employees.
  • Resolve employee benefit questions and issues to ensure quick, equitable and courteous resolution.
  • Work with benefit vendors on claims resolution issues. Escalate benefit issues as needed.
  • Partner with HRIS Team to test Benefits Open Enrollment platform and run routine reporting on open enrollment progress.
  • Support onboarding of new employees including preparing employee electronic files, manage I-9, sending new hire notebooks and creating badges.
  • Develop and maintain complete and accurate HR files for all employees, including all documents related to employer policies, payroll and benefit information in accordance with HR laws and best practices.
  • Accurately maintain HRIS system with any personal changes
  • Serve as support for the HR Hotline and group email box by answering internal and external inquiries regarding programs, policies, and procedures.
  • Document current processes and seek out efficient methods with intent to simplify and enhance the employee and manager experience.
  • Prepare targeted employee communications and create/distribute reports in support of HR programs.
  • Maintains and understands the importance of professionalism and confidentiality of all information.
  • Other duties as assigned.
