About The Position

The HR Services Associate Bilingual is responsible for providing a wide variety of administrative support services for the HR Services team. This role involves interacting with all levels of the organization as well as external clients/contacts and supporting the day-to-day operations of HR Services. The incumbent of this role is required to review and process documents in both official languages (French and English) to meet industry regulatory obligations, demonstrating advanced communication skills in both languages.

Requirements

  • High school diploma (or equivalent experience)
  • Minimum 1 year of experience in an HR Generalist capacity
  • Knowledge of MS Excel, PowerPoint, Word and Outlook
  • Experience using Workday (or equivalent HRIS tool)
  • Excellent organizational skills and an ability to multitask and work with minimal supervision
  • Quick to learn new processes and adept at identifying and resolving issues
  • Ability to maintain confidentiality and demonstrate considerable use of tact, diplomacy, discretion, and judgment
  • Flexible and open to continuous change and ambiguity. Must be adaptable, and work effectively within a variety of situations, and with various individuals or groups.
  • Excellent verbal and written communication skills
  • Strong team player who can partner well with the various functions within HR Services
  • Must be bilingual in French and English
  • Current work authorization for Canada

Responsibilities

  • Responsible for purchase order creation and arranging invoice payment for the Human Resources department, ensuring adherence to corporate guidelines, timely and accurate payments, and updating the invoice tracking report. Manages troubleshooting activities for purchase order creation and invoice payment processes, and provides guidance to HR stakeholders.
  • Provides operational support to the payroll function, assisting with accurate and timely payroll processing and bilingual inquiries related to payroll. Supports the management of Fidelity Canada reimbursement programs, including intake forms, employee follow-ups, and program tracking reports.
  • Manages the HR Operations mailbox, ensuring timely and accurate replies to employee inquiries, including bilingual support, and assists HR Operations and Payroll teams with follow-up.
  • Supports the management of the HR Services intranet site by conducting regular audits, identifying material requiring updates, and coordinating with relevant groups (Compensation and Benefits, Payroll, HR Operations, Corporate Security).
  • Provides administrative support for duties as assigned within HR Services, including bilingual support to HR Operations and Payroll teams.
