Requirements

  • 3-5 years of related experience or relevant combination of education and experience.
  • 3 plus years experience using a HRIS system, preferably Workday or similar software.
  • Strong experience in Human Resources, Talent Acquisition, and onboarding operations.
  • Knowledge of labor legislation, compliance requirements, and contractual obligations in the US and Canada highly desirable.
  • Experience working with HR systems, particularly Workday and Service Now.
  • Excellent stakeholder management and communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities in a fast-paced, multinational environment.

Responsibilities

  • Act as the primary point of contact for new hires throughout the onboarding journey, from pre-boarding to Day 1.
  • Manage end-to-end onboarding activities for both executive and non-executive hires across the US and Canada.
  • Organize and facilitate pre-onboarding and onboarding sessions for executive and non-executive employees.
  • Deliver Day 1 onboarding sessions and ensure all required documentation is completed and properly maintained.
  • Partner with Talent Acquisition, Hiring Managers, Payroll, Benefits, and Global Onboarding teams to ensure onboarding activities are completed within established timelines.
  • Support managers with onboarding setup activities, including asset requests and Workday transactions.
  • Resolve pre-employment screening discrepancies and coordinate with external vendors as needed.
  • Maintain country-specific documentation, contracts, labor law requirements, and compliance processes.
  • Ensure timely reporting and processing of onboarding exceptions, including rescinds, no-shows, and start-date changes.
  • Coordinate with Payroll and Benefits teams to guarantee accurate employee setup and data integrity.
  • Maintain onboarding records, documentation repositories, and Workday-related activities.
  • Monitor onboarding metrics and contribute to process improvements that enhance employee experience and operational efficiency.
  • Ensure compliance with local labor legislation, contractual obligations, and company policies.
  • Provide guidance and support to stakeholders regarding onboarding policies, procedures, and best practices.
  • Manage U.S. employment eligibility and immigration compliance, including I-9, E-Verify, Department of Defense employment verifications, and immigration petition support.
  • Lead onboarding compliance and regulatory reporting processes, including Workday onboarding controls and Canadian government workforce surveys.
  • Serve as a mentor to junior colleagues, providing training and coaching.
  • Act as a champion of knowledge management and be at the forefront of driving the latest HR processes and acting as a focal point for all knowledge in your area of expertise.
