Summary: The HR Administrative Assistant provides administrative and clerical support to the Human Resources department, ensuring efficient HR operations and a positive employee experience. This role assists with day-to-day HR functions including onboarding, personnel records, compliance support, and employee communications, while maintaining confidentiality and accuracy.

Requirements

  • High school diploma or equivalent required; Associates degree or coursework in Human Resources, Business Administration, or a related field preferred
  • One to three years of administrative or HR support experience preferred
  • Knowledge of basic HR practices and employment laws is a plus
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and HRIS systems
  • Strong organizational skills with attention to detail
  • Ability to handle sensitive and confidential information with discretion
  • Excellent written and verbal communication skills

Responsibilities

  • Provide administrative support to the HR team, including scheduling meetings, assisting with the quarterly newsletter, etc.
  • Assist with new employee onboarding and offboarding processes (paperwork, orientation materials, system access coordination)
  • Receives and distributes office mail.
  • Maintain accurate and confidential employee personnel files (electronic and paper)
  • Support recruitment activities such as posting job openings, scheduling interviews, and communicating with candidates
  • Assist with benefits administration tasks, including enrollment support and employee inquiries
  • Track and maintain HR data such as employee changes and training records
  • Prepare reports, spreadsheets, and HR-related documentation as needed
  • Maintains employee confidence and protects operations by keeping human resources information confidential.
  • Provides guidance regarding HR policies, procedures and benefits to employees and/or job applicants.
  • Prepares and distributes the monthly birthday and anniversary cards to employees.
  • Maintains and develops positive working relationships with employees, vendors and HR Team.
  • Respond to routine employee questions and direct more complex inquiries to appropriate HR team
  • Assist with compliance-related activities, audits, and reporting requirements
  • Support HR initiatives, trainings, and employee engagement activities
  • Perform other related duties as assigned
