About The Position

We are seeking a highly organized, proactive HR and Office Administration Coordinator to support our Human Resources Department and overall office operations. This role will serve as a key point of contact for new hires joining the CAMP organization, while also independently coordinating day-to-day office activities and HR administrative tasks. The ideal candidate will have demonstrated experience managing office administration responsibilities, supporting HR processes, and taking ownership of projects from initiation through completion. This person should be comfortable working independently, exercising sound judgment, prioritizing competing needs, and taking initiative in a dynamic, fast-paced work environment.

Requirements

  • Bachelor’s degree in a relevant field and/or equivalent years of relevant experience
  • Experience HRIS or other data entry
  • Strong attention to detail
  • Strong comfort level with working on tasks and data entry independently
  • Three to five years of administrative and/or HR support experience
  • Ability to maintain confidentiality and professionalism
  • Microsoft Office Suite experience, experience with or desire to learn new tools/software i.e. Monday.com, ChatGPT, Claude, etc.
  • Customer service attitude interfacing with internal employees as well as external vendors
  • Adaptability and willingness to take the initiative
  • High level of organizational skills and strong communication and interpersonal skills a must

Responsibilities

  • Manage accurate entry of employee data into multiple systems, including UKG and Oracle. Maintain accurate digital and hard copy employee and office files.
  • Completion of all new hire I-9 documents and recertifications with accuracy.
  • Responsible for compliance tracking I-9 documentation and recertification requirements and ensure all immigration files are updated.
  • Support the coordination of new hire onboarding by partnering with HR and department teams to organize onboarding activities, training schedules, and related preparation for new staff.
  • Plan and execute office employee activities and engagement. (Examples - Summer BBQ, Veteran’s Day)
  • Serve as the main point of contact and lead for the office resource team, including independently coordinating office activities and HR administrative tasks, and leading monthly team meetings.
  • Prepare meeting rooms including ordering appropriate supplies and meeting room set up.
  • Arrange candidate travel accommodations as needed; coordinating details among internal team of Corporate Recruiter, Hiring Manager and office resource team.
  • Maintain inventory and ordering of office and kitchen supplies, including snacks and refreshments, ensuring kitchens, conference rooms, and common areas remain well stocked and organized.
  • Act the main point of contact for building management and other external vendors and visitors.
  • Process employment verifications, and background checks as needed.
  • Support special project across the Human Resources team.
  • Responsible for the management and distribution of ingoing and outgoing mail/Postal Service, UPS labels.
  • Use AI Tools to automate and improve HR Admin processes.
