About The Position

We are seeking an organized, detail-oriented, and service-minded HR Generalist to join our SBU Human Resources team. In this role, you will serve as the shared operational backbone for our eight business entities, supporting over 800 employees. You will take primary ownership of day-to-day administrative, transactional, and logistical workflows across the entire employee lifecycle.

Requirements

  • 2–4 years of experience in an HR administrative, operational, or generalist role.
  • Experience with HRIS platforms is required, with UKG platform experience highly preferred.
  • Intermediate proficiency with Microsoft Excel, Word, and Outlook is required.
  • Outstanding organizational skills and a meticulous eye for detail.
  • Proven ability to prioritize high-volume tasks and meet administrative deadlines without direct oversight.
  • Clear, friendly, and professional written and verbal communication.
  • Comfortable interacting with employees, local SBU managers, and third-party vendors.
  • High level of professional integrity, maturity, and discretion when handling highly sensitive HR, benefit, and payroll records.

Responsibilities

  • Initiate and monitor background checks for all SBU candidates, track progress, monitor completion, and flag any alerts or issues for the respective direct manager.
  • Coordinate transactional onboarding setups by entering and configuring all new hires within the UKG platform.
  • Manage and distribute new-hire welcome swag, custom plaques, and business cards across all SBU office locations.
  • Coordinate the logistics and physical distribution of employee service badges, tenure awards, and team milestone recognitions.
  • Handle administrative employee announcements, including monthly birthday/tenure calendars, promotional announcements, and shipping flower orders for employee life events.
  • Administer and process routine registrations and enrollments for WageWorks HRA, FSA, and HSA accounts.
  • Provide transactional data entry support, including assisting with basic payroll system entries and pre-payroll audits under supervision.
  • Manage, route, and respond to incoming employment verification and unemployment requests via phone, email, and mail.
  • Maintain and audit SBU employee records, ensuring all document scanning, digital filing, and system database updates are executed in a timely manner.
  • Review, log, and complete incoming supplier questionnaires and administrative compliance requests.
  • Generate and distribute regular administrative reports, including pulling the monthly sales team listings and maintaining updated organizational charts.
  • File approved Personnel Action Requests (PARs), execute transactional changes, and initiate downstream logistics (ordering updated business cards, nameplates, etc.) once final executive sign-off is given.
  • Process administrative system terminations in UKG and other internal directories.
  • Draft and distribute standardized exit packages, termination agreements, and departing employee documentation.
  • Coordinate logistics for company equipment returns, including laptop shipping and building key collections.
