About The Position

The part-time HR Generalist provides essential administrative and operational support across core HR functions. Working 2 days a week, this role focuses on the execution of specific transactional tasks, routine record-keeping, and handling first-line employee inquiries during scheduled hours, while collaborating closely with the HR Director.

Requirements

  • 3+ years of progressive HR administration or HR Generalist experience.
  • Solid working knowledge of California labor laws and HR compliance, including I-9/E-Verify administration, CA final pay regulations, and Workers’ Compensation filing.
  • Hands-on proficiency with ADP Workforce Now (WFN) or similar major HRIS/payroll systems required.
  • Experience with Applicant Tracking Systems (ATS)
  • Strong proficiency in MS Office (Excel, Word) and Google Workspace.
  • Exceptional ability to manage time, prioritize high-impact tasks, and hit strict deadlines within a compressed 2-day workweek schedule.
  • Clear, professional verbal and written communication skills with the utmost commitment to maintaining strict employee confidentiality.
  • High precision in data entry, record-keeping, and compliance documentation.
  • Comfort working independently during assigned hours while maintaining strong, proactive communication with the HR Director.

Nice To Haves

  • Experience in event production, hospitality, entertainment, or a fast-paced client-service environment is a plus.
  • Familiarity with workplace safety requirements, including California’s Workplace Violence Prevention Plan (WVPP) standards, is strongly preferred.

Responsibilities

  • Update job descriptions, post/close positions within the ATS, and process approved hires/terminations in ADP and FileMaker during scheduled workdays.
  • Prepare offer letters, initiate background checks, and audit I-9 verifications for compliance.
  • Coordinate and facilitate the onboarding and orientation schedule for new hires.
  • Coordinate the offboarding process, processing terminations in ADP/FileMaker.
  • Coordinate the administrative offboarding process for planned separations, ensuring documentation and system deactivations are scheduled in alignment with state-regulated final pay timelines.
  • Maintain accurate, up-to-date electronic employee files in ADP WFN and FileMaker.
  • Partner with payroll by executing accurate data entry, tracking employee status changes, and providing updates prior to payroll processing deadlines.
  • Prepare routine HR reports and assist with internal compliance documentation as required.
  • Support the HR Director in the advance administrative planning, material preparation, and system testing for annual Open Enrollment.
  • Act as the internal point of contact for day-to-day, routine employee benefits questions during working hours.
  • Track and report on the completion of mandatory harassment prevention and compliance training programs.
  • Administer the company’s Workplace Violence Prevention Plan (WVPP) by coordinating annual employee training logistics, tracking completion, maintaining the mandatory Violent Incident Log, and ensuring policy accessibility.
  • Act as the administrative point administrator for workers' compensation claims; process, submit, and track claims with the insurance carrier, ensuring all internal incident documentation is filed accurately.
