About The Position

The HR Employee Services Specialist serves as a key operational resource within the People & Culture team, providing timely, accurate, and responsive HR support to employees, HR Business Partners, and Total Rewards. This role manages recurring HR administrative processes and employee service requests from intake through resolution including HR transactions, employee documentation, benefits support, and data maintenance. This position is expected to proactively monitor assigned workflows, identify and resolve outstanding items, maintain accurate records, and communicate effectively with stakeholders. The role requires strong organization, attention to detail, judgement, responsiveness, and the ability to manage multiple priorities in a fast-paced environment.

Requirements

  • Associate’s degree or equivalent work experience
  • 1+ year of HR operations, employee services, benefits administration, or comparable experience
  • Familiarity with basic HR terminology, policies, and processes
  • Strong proficiency in Microsoft Office, particularly Excel (Pivot Tables/Dashboards, etc), Word, Outlook, and Teams
  • Demonstrated ability to organize data analytics and prepare associated reports
  • Outstanding written and verbal communication skills
  • Demonstrated ability to independently organize, prioritize, track and complete multiple recurring and ad hoc responsibilities within established deadlines
  • Demonstrated ownership and follow through, including proactively identifying outstanding work, communicating status and barriers, and driving assigned requests through resolution
  • Strong attention to detail and commitment to quality, including reviewing work for accuracy, completeness and consistency
  • Ability to maintain reliable execution of recurring workflows while appropriately responding to changing priorities and time sensitive requests

Nice To Haves

  • Familiarity with the Family and Medical Leave Act (FMLA) and other leave programs

Responsibilities

  • Serve as a first point of contact for routine employee HR inquiries, providing timely, accurate, and professional support and escalating matters appropriately
  • Use sound judgement to independently resolve routine HR matters within established processes
  • Manage assigned HR service requests and administrative workflows from intake through completion, ensuring timely follow up and resolution
  • Administer I-9 and employment verification processes in accordance with established requirements and timelines
  • Process and audit designated HRIS transactions, including manager changes, non-employee terminations and other assigned employee data changes
  • Coordinate separation administration, including required employee communications, exit survey distribution, documentation, and related follow-up
  • Administer the tuition reimbursement process including request tracking, employee communication, approval documentation and timely payroll submission
  • Provide administrative support for ADA accommodation requests, leaves of absence/FMLA, and disability claims including intake, acknowledgement, distribution of required documentation, tracking, follow up, responding to information requests, and appropriate escalation
  • Support benefits administration through HR ticketing system, employee inquiries, enrollment support, insurance verification letters, and other recurring requests
  • Support job description administration and maintenance including transferring leader approved content into approved templates, incorporating approved updates, reviewing documents for completeness, accuracy and formatting consistency, maintaining current versions, and coordinating follow up with HR partners as needed
  • Monitor outstanding HR requests and recurring workflows, proactively following up with employees, managers, and HR partners as needed to ensure timely resolution
  • Maintain accurate HR records, trackers, and documentation and conduct routine audits to identify missing, incomplete, or inconsistent information
  • Prepare recurring and ad hoc HR reports, audits and data files, validating information for completeness and accuracy prior to distribution
  • Support recurring workforce reporting and HR metrics as assigned
  • Provide administrative support to HR Business Partners, including documentation, reporting, meeting coordination, employee communications and follow-up tracking
  • Identify recurring issues, workflow gaps and opportunities to improve HR processes
  • Assist with developing and maintaining SOPs and standardized resources
