About The Position

Vanguard Truck Centers is seeking a driven, team-oriented HR Coordinator with a great attitude and a desire for success. This role is crucial for supporting HR functions within the region, including employee benefits, recruiting, onboarding, compliance, safety, compensation, training, employee engagement, performance management, and employee relations. The ideal candidate will be detail-oriented, possess strong organizational skills, and be proficient in computer applications like Excel and Outlook. Requirements

  • High school diploma or general education degree (Required)
  • At least one year of related experience (required)
  • Strong computer skills required, including proficiency in Excel and Outlook
  • Must be detail-oriented and have great organizational skills
  • Valid driver’s license

Responsibilities

  • Serve as the front-line manager for employees regarding benefit enrollment, questions, and guidance.
  • Complete and submit FMLA/STD/LTD paperwork to the appropriate agency.
  • Recruit for open positions within the region using Hireology for job posting, candidate review, interview scheduling, background/drug screening, and offer letter initiation.
  • Initiate Personnel Action Forms (PAAs) for new hires and assist employees with the electronic onboarding process.
  • Complete IT Checklists for system setup, order business cards/shirts if applicable, and conduct employee orientation.
  • Conduct 30-day New Hire check-ins to ensure an effective onboarding process.
  • Maintain up-to-date information on work-related issues such as ADA, FMLA, OSHA, FLSA, etc.
  • Ensure all posters and applications are compliant with state and federal law.
  • Routinely perform Compliance Audits as directed by Corporate.
  • Ensure employee policies and procedures are being adhered to.
  • Ensure accident reports are completed and submitted in a timely manner.
  • Ensure OSHA logs are posted in February and submitted as necessary, and State Workers’ Compensation Official Notices are posted annually.
  • File all Safety documentation and records according to the Health and Safety Plan.
  • Participate in Quarterly Safety Committee meetings and work with Safety Leads on Safety Program compliance.
  • Communicate to managers the importance of timely and accurate timesheets, hours, and termination notices to reduce payroll errors.
  • Work closely with the Payroll Manager to keep payroll records up-to-date and ensure accurate payroll amounts.
  • Monitor and approve all PTO requests and balances.
  • Execute the merit increase process locally.
  • Collaborate with Corporate to identify training opportunities and follow up on training initiative results.
  • Track and summarize Top 3 Focus Areas from the Job Satisfaction Survey to Department Leaders.
  • Support Corporate Employee Engagement initiatives.
  • Assist with planning and conducting Town Halls, Department Manager Meetings, or employee appreciation luncheons.
  • Participate in high priority performance reviews as needed.
  • Archive all performance reviews and ensure sufficient documentation for involuntary terminations.
  • Assist with all local HR complaints/problems, keeping Corporate HR informed of any potential exposure to lawsuit/EEOC charge.
  • Complete exit interviews.
  • File W/C claims & general insurance claims and report progress to Corporate HR.
  • Track and order office supplies.
  • Process Employment Verifications.
  • Notarize documents such as MCO’s, titles, Power of Attorneys, etc.
  • Serve as the point of contact for Cleaning/Janitorial staff.
  • Organize and prepare the office for Leadership meetings, Training, Conferences, etc.
  • Provide support for Managers as needed.
  • Assist with projects as needed.
