About the Role Reporting to the HR Operations Manager, the HR Coordinator provides hands-on HR support to our fiscally sponsored projects and internal team across onboarding, recruitment support, staff training coordination, compliance, payroll support, benefits administration, and other high-touch HR projects. Just as importantly, this role is the heartbeat of our culture—keeping the energy high and our nationwide, largely remote team connected, celebrated, and engaged. This is a hybrid role that combines remote work, time at our office, and occasional onsite visits to client offices. Candidates should be based in San Diego, CA, able to commute within San Diego County, with reliable transportation.

Requirements

  • High school diploma required
  • 1–2 years of HR, administrative, event, or office coordination experience preferred.
  • Familiarity with Google Workspace, Microsoft Office, and HRIS systems (e.g., Paylocity) a plus.
  • Valid driver’s license and reliable transportation for occasional errands, events, and storage-unit runs.
  • A creative thinker who colors outside the lines—bringing fun ideas, flair, and high energy to everything from big events to everyday moments.

  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.

Responsibilities

  • Own the administrative side of onboarding for new hires—preparing offer letters, new-hire documents, I-9s, and Paylocity setup ahead of time, and handling filing and recap emails afterward—while HR leadership leads the day-of onboarding.
  • Prepare, send, and file Change of Status forms, routing them to the HR Operations for Paylocity updates.
  • Support the HR Operations Manager with day-to-day administrative tasks for internal and fiscally sponsored employees, such as filings, audits, monthly checks, etc.
  • Help HR leadership process bi-weekly payroll—preparing the payroll package for internal and fiscally sponsored employees and presenting it for review and final processing.
  • Coordinate payroll deadline reminders with our fiscal sponsorship team, ensuring all timesheets are submitted by the deadline.
  • Under the oversight of the HR Operations Manager and CHRO, prepare and complete compliance review of Master Service Agreements (MSAs) and Independent Contractor (IC) Agreements—in accordance with all applicable regulatory requirements—for Mission Edge, Nonprofit Solutions, and fiscally sponsored projects.
  • Dream up, plan, and execute parties, retreats, and team gatherings—bringing inventive ideas, precise execution, and strong organization and communication to every event.
  • Keep our nationwide, remote team connected through thoughtful virtual moments, traditions, and surprises that make distance disappear.
  • Curate and mail remote goodie boxes, and champion employee appreciation—celebrating wins, birthdays, anniversaries, and running special errands (cakes, flowers, the perfect gesture) at just the right moment.
  • Coordinate “Cheers for Peers” recognition and keep the office welcoming and event-ready, including occasional storage-unit runs.
