About The Position

This position serves as a primary point of contact for employees, applicants, and agency leaders, answering routine questions regarding policies, procedures, forms, and department processes. The role involves administering the employee lifecycle, including onboarding, personnel actions, employment changes, leave documentation, and offboarding. It also includes maintaining employee records with accuracy, confidentiality, and compliance, as well as monitoring assigned workflows and deadlines. The HR Coordinator will also be responsible for maintaining department templates, forms, reports, dashboards, SOPs, and tracking tools, coordinating administrative projects and department logistics, and assisting with process improvement initiatives. Collaboration with coworkers and internal departments is essential, along with managing responsibilities while maintaining confidentiality and professionalism. The position requires demonstrating accountability, organization, and attention to detail, and contributing to a positive team environment. Level II supports Level I functions and independently resolves routine and moderately complex employee inquiries, provides guidance on established department policies and procedures, coordinates communications with internal departments and stakeholders, and serves as a resource for other team members. Level II also independently coordinates complex employee lifecycle transactions involving multiple stakeholders, resolves documentation and workflow issues, and ensures assigned processes are completed accurately and within established timelines. Additionally, Level II coordinates recurring compliance monitoring activities, analyzes audit findings, investigates discrepancies, recommends corrective actions, and supports system testing, implementation, and process improvements. Level II also coordinates operational projects and workflow improvements, analyzes operational data, workflow issues, and trends, identifies root causes, and recommends practical improvements. The position operates under an employment-at-will agreement.

Requirements

  • Level I: High School or GED and 3 years of qualifying experience
  • Level I: Associate's degree and 2 years of qualifying experience
  • Level I: Bachelor's degree and 1 year of qualifying experience
  • Level II: High School or GED and 6 years of qualifying experience
  • Level II: Associate's degree and 4 years of qualifying experience
  • Level II: Bachelor's degree and 2 year of qualifying experience
  • Qualifying education includes relevant areas of study that may include, but are not limited to, Human Resources, Business Administration, or other disciplines that emphasize business operations, project coordination, or data management.
  • Qualifying experience includes progressively responsible professional experience that demonstrates customer service, organization, communication, independent judgment, attention to detail, project coordination, technology proficiency, management of multiple priorities, accountability, and successful follow-through.

Responsibilities

  • Serve as a primary point of contact for employees, applicants, and agency leaders.
  • Answer routine questions regarding policies, procedures, forms, and department processes.

  • Process employee lifecycle transactions, including onboarding, personnel actions, employment changes, leave documentation, and offboarding.
  • Prepare employment correspondence, forms, and required documentation.
  • Maintain employee records with accuracy, confidentiality, and compliance.
  • Monitor assigned workflows and deadlines.
  • Maintain employee records and HR system data.
  • Complete routine audits and validate data accuracy.
  • Track required certifications, acknowledgements, and compliance activities.
  • Resolve routine discrepancies following established procedures.
  • Maintain department templates, forms, reports, dashboards, SOPs, and tracking tools.
  • Coordinate administrative projects and department logistics.
  • Assist with process improvement initiatives as assigned.
  • Collaborate effectively with coworkers and internal departments.

  • Work collaboratively with all agency programs and staff to provide support as needed.
  • Utilize and maintain calendar with all work-related details in order to manage time effectively and share calendar information with coworkers.
  • Participate in on-going training to expand and develop professional skills.
  • Perform other duties as necessary for the agency, as assigned.
