The Systems and Data Administrator plays a critical role in supporting HR Operations through accurate data management, system administration, and high-quality document preparation. This role partners closely with HR Business Partners, HR Operations, and Payroll to ensure employee data integrity, timely reporting, and consistent execution of HR processes. This is a hands-on, execution-focused role best suited for a highly organized, detail-oriented professional who works independently, anticipates needs, and takes ownership of outcomes. Requirements

  • 3–5 years of experience in HR operations, administration, or systems/data support.
  • Hands-on experience with HRIS or employee data systems.
  • Strong Microsoft Excel and document-preparation skills.
  • Experience preparing HR documentation and maintaining confidential employee records.
  • Excellent written and verbal communication, customer service, tact, and diplomacy.
  • Strong attention to detail, organization, time management, and data accuracy.
  • Ability to work independently, manage competing priorities, and exercise discretion.
  • Proactive, accountable, and solutions-oriented approach.

Nice To Haves

  • Experience supporting multiple HR processes in a fast-paced environment.
  • Familiarity with HR compliance requirements and audits.
  • Experience within a shared-services or operations-focused HR team.

Responsibilities

  • Maintain accurate, complete, and compliant employee data across HR systems.
  • Support daily system administration, including data entry, audits, reconciliation, and basic troubleshooting.
  • Produce standard and ad hoc reports on headcount, employee changes, compliance, and HR metrics.
  • Identify and resolve data discrepancies through regular validation.
  • Prepare HR documents, including offer letters, employment agreements, job changes, and compliance records.
  • Process onboarding, offboarding, and other employee lifecycle transactions accurately and on time.
  • Maintain HR records in accordance with company policies and retention requirements.
  • Support audits, compliance reviews, and data requests.
  • Identify opportunities to improve data accuracy and operational workflows.
  • Create and maintain job aids, checklists, and process documentation.
