About The Position

The Human Resources Assistant provides administrative and operational support to the Human Resources Department at Mainstay Life Services. This role includes recruitment coordination, employee records maintenance, onboarding support, and confidential clerical assistance for a nonprofit agency serving individuals with developmental disabilities. The position is part-time, 20 hours per week, and requires in-office work.

Requirements

  • Excellent organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with or the ability to quickly learn human resource information system (HRIS), and similar computer applications.
  • The ability to work as part of a team.
  • Strong analytical and problem-solving skills.
  • Ability to work independently and collaboratively as part of a team.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • HS Diploma or GED required.
  • Proven experience working in an office environment for one year preferred.
  • Must be at least 18 years of age or older.
  • Valid driver’s license required.

Responsibilities

  • Update company databases by entering new employee contact information and employment details.
  • Identify and register for job fairs, career fairs, and recruitment events that align with organizational hiring needs.
  • Assist in the preparation of recruitment materials and attend events as needed to promote employment opportunities, build candidate pipelines, and support hiring initiatives.
  • Screen resumes and application forms to identify qualified candidates for open positions.
  • Organize interviews with candidates.
  • Post job advertisements to job boards.
  • Remove job advertisements from job boards once vacancies have been filled.
  • Assist HR staff in collecting new hire paperwork.
  • Prepare and send offer and rejection letters or emails to candidates.
  • Assist with scheduling new hire orientation.
  • Maintain accurate and up-to-date human resource files, records, and documentation.
  • Maintain the integrity and confidentiality of human resource files and records.
  • Provide clerical support to the HR department.
  • Other duties as assigned.
