About The Position

The HR Assistant provides administrative and operational support to the Human Resources department and plays a key role in ensuring consistent and efficient HR functions. This position is responsible for supporting various aspects of the employee lifecycle, including onboarding, offboarding, leave administration, employee engagement, training coordination, IT and office support, and vendor coordination. The HR Assistant works cross-functionally with other departments, including IT and Facilities, to deliver a seamless and compliant employee experience.

Requirements

  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field; or an equivalent combination of education and experience.
  • Minimum of two (2) years of experience in an administrative or HR support role.
  • Basic knowledge of employment laws and HR compliance requirements, including FMLA and ADA.
  • Proficiency in Microsoft Office Suite and/or Google Workspace.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Demonstrated ability to handle confidential information with discretion and professionalism.
  • Ability to manage multiple priorities, meet deadlines, and work both independently and collaboratively.

Nice To Haves

  • Experience with onboarding/offboarding processes and HRIS systems.
  • Background in coordinating employee engagement and training programs.
  • Familiarity with IT asset tracking and basic inventory management.
  • Prior experience working with external service vendors (e.g., uniform services, janitorial teams).

Responsibilities

  • Human Resources Administration
  • Maintain accurate and confidential employee records, personnel files, and HR databases.
  • Respond to employee inquiries regarding HR policies, benefits, procedures, and programs in a timely and professional manner.
  • Assist in maintaining HR documentation, forms, and internal communication materials.
  • Ensure compliance with company policies and applicable labor and employment laws.
  • Leave and Accommodation Management
  • Serve as the primary point of contact for Family and Medical Leave Act (FMLA) and Americans with Disabilities Act (ADA)-related requests.
  • Facilitate the interactive process in accordance with ADA guidelines in coordination with employees and managers.
  • Track, document, and maintain confidentiality of all medical, leave, and accommodation-related information and communications.
  • Onboarding and Offboarding Coordination
  • Execute all onboarding and offboarding tasks according to established checklists and procedures.
  • Coordinate new hire orientation sessions, documentation, and systems access provisioning.
  • Partner with the IT department to ensure timely assignment and setup of technology, including laptops, cell phones, and necessary access.
  • Manage collection and return of company assets, including IT equipment, during employee offboarding.
  • Conduct and document exit interviews in collaboration with HR leadership.
  • Employee Engagement and Recognition
  • Serve as lead coordinator of the Events Committee, organizing employee engagement initiatives, company events, and cultural activities.
  • Manage employee milestone and recognition programs, including:
  • Distribution of birthday and anniversary emails.
  • Issuance of gift certificates and physical certificates for anniversaries and birthdays.
  • Ordering and distributing trophies for milestone anniversaries (5, 7, and 10 years of service).
  • Create and distribute a monthly HR Newsletter to support internal communications and employee engagement efforts.
  • Training Coordination
  • Schedule and support training meetings for the Secondary Leadership Team, including preparation of materials and managing attendance.
  • Track and coordinate ongoing employee training sessions, certifications, and records.
  • Policy and Employee Handbook Management
  • Support the review and maintenance of the Employee Handbook in collaboration with HR leadership.
  • Communicate policy updates and revisions to employees clearly and in a timely manner.
  • Ensure employee acknowledgment of handbook revisions is documented and retained.
  • IT Asset and Equipment Coordination
  • Maintain an up-to-date IT asset tracking system in coordination with the IT Director.
  • Ensure proper assignment, tracking, and return of company-issued equipment during onboarding and offboarding.
  • Office and Vendor Support
  • Assist the front desk and facilities team with general office operations, including ordering office supplies, visitor coordination, and document handling.
  • Coordinate with external vendors such as Cintas for uniform services and the cleaning team for office cleanliness and upkeep.
  • Provide general administrative support to the HR team and participate in cross-departmental projects as assigned.
