About The Position

Provides high-quality administrative support in a timely, accurate, and courteous manner. This role serves as the main point of contact for Transmission employees regarding Teams, UKG, and HR/benefits-related questions. It also handles Concur expense reports for union employees, reviews electronic timesheets for accuracy, and assists payroll with documentation. The position involves managing mail, entering inspection data, running reports, creating billing invoices, and providing support to the Facilities group, including printing and delivery services. Additionally, it includes answering phones, scheduling appointments, managing inventory and office supplies, coordinating meetings and events, and maintaining central and departmental files.

Requirements

  • High School Diploma or GED minimum
  • 7 years’ prior office experience
  • Intermediate computer skills including Microsoft Office Suite, Adobe Acrobat and other company software
  • Ability to communicate with individuals at all levels and work as part of a team
  • Strong written and oral communication skills
  • High level of confidentiality required
  • Strong organizational skills and attention to detail
  • Strong customer service orientation
  • Ability to manage multiple projects with varying scopes and timelines
  • Valid Indiana Driver’s License required

  • Associate’s Degree in Business or related field preferred

Responsibilities

  • Serve as the main point of contact for Transmission employees for Teams, UKG, and HR/benefits-related questions.
  • Handle Concur expense reports for union employees.
  • Review electronic timesheets for all union Transmission employees and correct errors.
  • Assist payroll in obtaining documentation as needed.
  • Collect and distribute mail, resolving all mail issues.
  • Enter inspection data and run Substation Inspection reports.
  • Create billing invoices for equipment repairs and services rendered.
  • Provide support for the Facilities group at both Spencer locations, including printing and delivery services.
  • Answer phones, respond to phone requests, and welcome visitors.
  • Schedule work, appointments, meetings, training, and travel arrangements.
  • Maintain inventory and order breakroom and office supplies.
  • Provide meeting, event, and special function support and setup, including catering coordination.
  • Provide Executive Staff Meeting support.
  • Maintain and update central and departmental files and records.
  • Perform other duties as assigned.
