About The Position

The HR Administrator provides comprehensive administrative and operational support to the HR department, employees, and management. This role is responsible for completing a variety of HR administrative tasks, including maintaining accurate and up-to-date employee records, organizing and filing documentation, supporting employee requests, and assisting with day-to-day HR activities to ensure efficient and effective service delivery. The position will also support front desk operations, including greeting visitors, answering phone calls, and providing reception coverage as needed. This is a 12-month contract position, Monday to Friday, from 10:00 AM to 6:00 PM.

Requirements

  • 1–2 years of HR and/or administrative support experience
  • Basic knowledge of HR practices and document handling
  • Strong attention to detail and excellent organizational skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook) is required
  • Ability to manage confidential information with professionalism
  • Strong communication skills and a collaborative mindset

Nice To Haves

  • Front desk or reception experience is an asset
  • Previous experience in an office environment preferred
  • Experience with Dayforce is an asset

Responsibilities

  • Assist in ensuring compliance with employment legislation (ESA, OHSA, AODA, Human Rights) and maintain accurate, audit-ready HR documentation and employee files.
  • Support HRIS updates, ensuring data integrity and confidentiality in systems like Dayforce, Smartsheet, and Excel.
  • Help with internal and external audits, including documentation requests and follow-ups, ensuring audit readiness.
  • Coordinate with recruitment agencies and assist with onboarding and new hire documentation.
  • Serve as a point of contact for employee inquiries and assist HR Generalists with projects and strategic initiatives.
  • Organize, sort, and maintain employee records in both paper and digital formats to ensure accurate and up-to-date files.
  • Support the registration of temporary employees in the HRIS system and ensure information is properly recorded.
  • Assist with onboarding documentation and serve as main contact when coordinating with recruitment agencies.
  • Provide general administrative support to the HR team, including reports, records management, and coordination of HR activities.
  • Handle sensitive employee information with strict confidentiality and discretion.
  • Review and manage temporary employees’ timesheets in Dayforce, including adjusting hours and following up with managers and staffing agencies regarding discrepancies, missing hours, or required corrections.
  • Manage and track employee lockers and uniforms, including requests, changes, cancellations, and related invoices.
  • Assist with the planning and organization of company events and employee activities.
  • Provide backup support to the Receptionist by greeting visitors, maintaining visitor logs, answering and directing incoming calls, and coordinating courier pick-ups, mail distribution, and deliveries.
  • Support the smooth day-to-day operations of the front office when required.
  • Assist with other HR-related tasks, projects, and administrative duties as assigned.
