About The Position

At ASD - A Home for Life (ASD) is a Dallas-based nonprofit organization providing permanent supportive housing and wraparound services for individuals and families impacted by HIV/AIDS. The HR Administrative Liaison serves as ASD’s on-site HR point of contact, bridging day-to-day human resources operations between agency staff and the agency’s HR and recruitment partners. This role supports the Chief Operating Officer by managing the administrative execution of HR functions — ensuring that employee relations matters, onboarding, documentation, and HR compliance activities are handled efficiently, professionally, and in alignment with agency policies and HR guidance. This is a hands-on, results-oriented role suited for an HR professional who thrives in a mission-driven environment, can manage competing priorities with urgency, and operates with discretion, consistency, and care. This is a fantastic opportunity to gain additional experience in a variety of HR functions, while being part of a high-performing, fun-loving, and mission-aligned organization. This position is approximately 60% task execution and project delivery, 30% HR partner liaison and coordination, with the remaining 10% reserved for emerging organizational needs and priorities as they arise.

Requirements

  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field; or equivalent combination of education and experience.
  • Minimum 2–3 years of experience in an HR administrative, coordinator, or generalist support role.
  • Working knowledge of HR practices, employment law basics, and employee relations processes.
  • Experience with Paycom or a similar HRIS platform
  • Strong organizational skills with the ability to manage multiple priorities and deliver results under defined timelines.
  • Demonstrated ability to manage projects from initiation to completion with minimal supervision.
  • Proficiency in Microsoft Office Suite
  • Excellent written and verbal communication skills.
  • Demonstrated ability to handle sensitive information with discretion and professionalism.

Responsibilities

  • Serve as ASD’s primary on-site liaison to the agency’s external HR and recruitment partners.
  • Onboard into agency systems and HR partner workflows within the first 30 days; actively manage the HR and Recruitment partner for outputs, deliverables, and accountability.
  • Attend regularly scheduled HR and Recruitment coordination meetings; prepare agendas, document action items, and report outcomes to the COO.
  • Track and follow up on open HR items between external partners and internal departments, ensuring timely resolution and clear communication to leadership.
  • Coordinate and manage departmental Level 10 (L10) meetings, including: Scheduling and calendar management Agenda preparation Tracking IDS items, to-dos, and Rocks Ensure follow-up on action items and maintain accountability across departments.
  • Provide visibility to leadership on progress, challenges, and outstanding issues.
  • Serve as the on-site HR representative during disciplinary actions, terminations, and other sensitive HR conversations.
  • Maintain accurate and confidential employee files (physical and electronic) in compliance with agency policy and applicable regulations.
  • Process and track employee leave requests, FMLA documentation, and related correspondence.
  • Collaborate with the HR partner to design and implement a new employee orientation and onboarding process for ASD within the first 60 days.
  • Support the offboarding process for separating employees, including exit documentation and coordination with HR partners.
  • Serve as a first point of contact for employee benefits questions, directing complex inquiries to the appropriate HR resource.
  • Assist employees with benefits enrollment questions and open enrollment processes.
  • Partner with the HR team to conduct a full benefits compliance audit and remediate identified gaps, including FSA, health, and ancillary benefit services, within the first 30–60 days.
  • Lead the digitization and migration of all existing employee files into Paycom within the first 30–60 days, ensuring records are complete, organized, and compliant.
  • Complete the agency’s annual training compliance requirements for all staff within the first 30 days, ensuring documentation and tracking are current.
  • Ensure HR records, forms, and documentation are maintained in accordance with agency SOPs and applicable employment laws on an ongoing basis.
  • Assist in tracking compliance deadlines (e.g., policy acknowledgments, required trainings, background check renewals).
  • Support our HR partners in preparing for any audits or compliance reviews involving HR records.
