Passport Health is seeking an enthusiastic, organized, and detail-oriented HR Administrative Assistant to join our Human Resources team at our corporate office in Phoenix, AZ. This is a great opportunity for someone interested in building or expanding their experience in HR while gaining hands-on exposure to a variety of HR functions. You will work closely with the team to support day-to-day operations, including employee onboarding, maintaining employee records, employee support, HR reporting, and special projects. The ideal candidate is dependable, professional, eager to learn, and comfortable working in a fast-paced environment where priorities may change. This position is currently posted as part-time. However, a full-time opportunity may be available for the right candidate based on qualifications, experience, performance, and business needs.

Requirements

  • Strong interest in pursuing or developing a career in Human Resources, Business Administration, Communications, or a related field.
  • Excellent organizational skills and strong attention to detail.
  • Strong written and verbal communication skills.

  • Proficiency with Microsoft Office Suite, particularly Word and Excel, and Google Workspace.

Nice To Haves

  • Currently pursuing or holding a degree in Human Resources, Business Administration, Communications, or a related field is preferred.
  • Prior administrative, office, HR, internship, or related experience is a plus but not required.
  • Students and early-career professionals interested in gaining practical HR experience are encouraged to apply.
  • Experience working with HR systems, spreadsheets, or employee records is a plus.

Responsibilities

  • Assist with new hire paperwork, onboarding documentation, and communication with incoming new hires.
  • Conduct I-9 verification and maintain required onboarding documentation.
  • Ensure new hire information is complete and accurately entered into HR systems.
  • Provide administrative support throughout the onboarding process.
  • Maintain and update employee records and HR databases with accuracy and confidentiality.
  • Assist with employment documentation, forms, and routine HR processes.
  • Help organize and maintain electronic and physical HR files.
  • Assist employees with questions related to HR documentation, policies, benefits, and general HR processes.
  • Provide timely assistance while escalating questions to the appropriate HR team member when needed.
  • Assist with maintaining accurate HR data and employee information.
  • Prepare basic reports, spreadsheets, and tracking documents as requested.
  • Support data collection and administrative reporting for HR initiatives.
  • Prepare documents, reports, and presentations as needed.
  • Provide general administrative support to the HR team.
  • Take on additional responsibilities as skills and experience develop.
  • Support the HR team with day-to-day administrative needs.
