About The Position

Responsible for providing general administrative support to multiple disciplines within the Human Resources department while effectively handling sensitive, confidential employee information. This role involves partnering with HR Business Partners to document the employee lifecycle, manage onboarding and offboarding processes, maintain HRIS data, and support reporting and employee experience initiatives.

  • Preparing biweekly Green Folder (Payroll) materials.
  • Maintaining electronic employee files.
  • Executing monthly random drug screening.
  • Providing support with reporting through the HRIS.
  • Distributing and tracking performance reviews.
  • Reconciling reports from the Facility Security Officer.
  • Updating UKG.
  • Providing verification letters.
  • Creating and distributing workforce metrics monthly dashboard.
  • Assisting with annual ESG reporting.
  • Assisting with ad hoc HRIS projects.
  • Creating and distributing employee commitment awards.
  • Providing event planning and execution support.
  • Providing programs planning and execution support.
  • Providing back-up support for HR and Office Management teams.
  • Managing non-employee contractor requests for account creations and terminations.

Responsibilities

  • Document the employee lifecycle and capture in the HRIS, including new hires, status changes, compensation actions, and terminations.
  • Prepare new hire talking points for verbal offers.
  • Create and send official offer letters and packages to candidates, including initiation of background check and drug screen.
  • Monitor and manage the status of pre-employment requirements and maintain contact with the candidate through the first day of employment.
  • Complete internal notifications, calendar invites, and schedule orientations with IT/Payroll/HR.
  • Complete Form I-9 documentation and submit E-Verify for new hires.
  • Execute full offboarding processes.
  • Create and send termination letters and notifications.
  • Collect resignation letters, if applicable.
  • Schedule Exit Interviews with HRBPs.
  • Enter lifecycle events, including leave of absences, in UKG, ensuring data timeliness and accuracy.
  • Create, distribute, and track Employee Action Forms to reflect employee lifecycle events.
  • Prepare biweekly Green Folder (Payroll) materials.
  • Maintain electronic employee files.
  • Execute monthly random drug screening for workforce.
  • Provide support with reporting through the HRIS.
  • Distribute and track 90-day Performance Reviews within UKG and follow-up to ensure timely completion.
  • Reconcile monthly report from the Facility Security Officer and update UKG.
  • Provide verification letters as requested.
