About The Position

This role promotes positive associate relations by serving as an associate advocate, communicating frequently with associate groups through multiple channels, and maintaining a high amount of visibility with the associates across TRS-NA. The HR Administrative Assistant will assist with recruitment activities, on-boarding, answer payroll and benefits questions, monitor associate timecards, track data, participate in associate relations issues, provide guidance on medical leave, conduct training, oversee hourly cross-training programs, assist with annual open enrollment, and help plan company events.

Requirements

  • High School Diploma or GED
  • Excellent interpersonal skills
  • Ability to operate with a high amount of confidentiality and professionalism
  • Knowledge of HR related areas including compensation, benefits, employment law, and training
  • Strong computer skills including MS Word, Excel, PowerPoint, Outlook
  • Good written and verbal communication skills including the ability to present in front of large groups.
  • Able to act independently and manage various projects from initiation to completion
  • Strong problem solving and critical thinking skills

Responsibilities

  • Follow all safety rules and regulations.
  • Ensure that standard procedures are followed in all aspects of work.
  • Assist with recruitment activities such as scheduling and conducting phone screens, on-site interviews, and attending job fairs.
  • Assist with all aspects of on-boarding such as preparing offer letters, processing new hire forms, assembling new associate files, verifying I-9 documentation, entering new hires into the system, and ordering badges.
  • Prepare materials and conduct portions of new hire orientation.
  • Answer or assist with payroll and benefits questions as well as policy interpretation.
  • Monitor associate timecards and submit contingent time to staffing agencies on a weekly basis.
  • Track various types of data on spreadsheets including attendance, disciplinary actions, etc.
  • Participate in associate relations issues, workplace investigations, coaching, counseling, and disciplinary process under the guidance of the HR manager.
  • Give guidance to associates needing medical leave such as FMLA, or short and/or long-term disability.
  • Conduct training for selected topics at NA Rail sites.
  • Take a leading role in the oversite of hourly cross-training programs.
  • Assist with annual open enrollment.
  • Help plan and assist with company events including ordering lunches, booking conference rooms, and on-site vendor coordination.
  • Submit invoices from vendors to accounts payable.
  • Receive and review requisitions requesting goods or services.
  • Perform other duties and responsibilities as assigned.
