About The Position

The Housing Assistant acts as the key point of contact for all Williams Lake First Nation (WLFN) members who require safe and affordable housing in the WLFN community. As a key member of the WLFN Public Works team, you will be responsible for administrative duties for the Public Works department. The Assistant is responsible for performing a variety of administrative functions and providing quality customer service.

Requirements

  • Graduation from High School Grade 12 or equivalency.
  • Minimum 1-2 years of administrative, clerical or coordination experience.
  • Experience working in a fast-paced environment.
  • Knowledge of Williams Lake First Nation community, traditions, teachings, culture, protocols, and practices.
  • Knowledge of Microsoft Office software at an intermediate/advanced level.
  • Strong problem solving and writing skills.
  • A team player, ability to develop effective and supportive relationships with all colleagues and promote/maintain collaborative approaches.
  • Excellent organizational skills, ability to work well under pressure, and prioritize workload to meet deadlines.
  • Excellent interpersonal, time management, and communication skills.
  • Operates as part of a team and is flexible about the boundaries and functions of the job.
  • Maintains professionalism in all circumstances.
  • Recognizes and respects all cultural diversity and understands the Indigenous culture.

Responsibilities

  • Ensures delivery of excellent Housing Service which is member-focused, fair, and accessible to all life stages.
  • Creates and sustains good working relationships with tenants.
  • Performs day-to-day administrative/clerical duties, including cheque requisitions, photocopying, processing correspondence, emails, and other documentation.
  • Maintains general office supply inventory, including ordering and organization.
  • Set up of appointments for housing related projects and programs.
  • Develops tools and systems to further the Housing Departments administration and distribution.
  • Oversees the rental of the Gym/Arbor/Baseball Field/Elders Building, ensure each building is stocked with supplies, and maintenance is up to date.
  • Assists the O&M and Housing department with administrative needs.
  • Sets up Housing Committee meetings and creates the agenda, minutes, and other documentation.
  • Gathers information and research issues or topics as requested.
  • Manage credit card reconciliations for the Manager of Housing Services.
  • Collaborates with the Marketing & Communications Coordinator to create newsletters, posters, and brochures, and utilizes a variety of other methods as a way of sharing any related information with targeted populations.
  • Keeps the Housing Manager informed of sensitive and important issues and events.
  • Keeps up to date on new housing initiatives.
  • Exercises sound judgment and discretion regarding the confidentiality of client information.
  • Creates a safe and healthy environment where facilities are well maintained.
  • Participates in the Occupational Health & Safety Committee.
  • Supports the mission, vision, and values of Williams Lake First Nation.
  • Contributes to the WLFN’s ongoing success by accomplishing other duties as required or assigned.
