About The Position

The role serves as the key contact and liaison with clients, Hilton Worldwide Sales, on-property Ops team and internal HGV departments. The Specialist ensures exceptional customer service, professional written and verbal communication, highly detailed follow-through, and ensures accuracy of all communications & responsibilities are complete upon required deadlines to maximize successful group experiences.

Requirements

  • Proficient with: Excel, Outlook, Word, PowerPoint, Math.
  • Fast & Accurate Reading.
  • Professional phone etiquette, excellent guest service skills, attention to detail and a positive attitude.
  • Strong communication abilities, both written and spoken, along with the capacity and readiness to grasp and adhere to both oral and written instructions.

Responsibilities

  • Responsible for assisting with Group & Corporate sales of assigned region properties.
  • Accountable for every facet of post-sale coordination and management for specific groups, including but not limited to: Facilitates group rooming lists, confirmations, VIP guest arrangements.
  • Creates online reservation links when requested.
  • Works with Business Management to ensure deposits & prepayments are being collected as outlined in contract terms.
  • Ensures guarantees and billing arrangements are established.
  • Facilitating tax exemptions where applicable.
  • Monitors group pick up and reports both internally and with group point of contact.
  • Preparing & distributing Group Resumes to the hotels.
  • Works with Revenue & Inventory Departments on special requests and necessary inventory adjustments.
  • Running various weekly & monthly Sales reports.
  • Processing group commissions & rebates.
  • Maintaining accurate records in sales systems.
  • Ongoing, customized communications with customers, maintaining a knowledge of the customer and group details throughout the coordinating process.
  • Assists in building and maintaining business relationships with guests, clients, & business partners.
  • Identify, analyze, and resolve problems, maintain effective working relationships, and interact successfully with internal and external customers.
  • Ensure all internal communication and documentation with departments like Reservation, Revenue Management, Inventory Management, Business Operations, and Resort Management/Operations are accurate and complete.
  • Act as a liaison between yield management, guests, department managers, accounts receivable/payable, tax, and legal.
  • Ensure group requirements follow company policies and are completed on time.
  • Demonstrate efficient time management self-awareness & rigor.
  • Self-initiative to prioritize many tasks, resort needs, and guest needs accurately - with flexibility to quickly reprioritize, while completing impending deadlines and/or established timeframes.
  • Participate in occasional sales calls &/or property tours.
  • Demonstrate strong organizational skills in a fast-paced environment while working independently on projects and communication.
  • Produce successful results with minimal supervision.
  • Assist with additional regions, tasks, departments, etc. on occasion, when requested.
