As a Hospitality Concierge Coordinator, you will offer administrative support for IDEXX Hospitality including its core functions of event planning, catering, dining , bus iness support and concierge services. This position will have a heavy focus on activities in the World Campus Conference Center (WCCC) and concierge services . This highly visible, onsite role will ensure high-quality service, excellent operational efficiency with Hospitality’s goal to “Create an Experience, Leave an Impression” for all customers. The Hospitality Concierge Coordinator provides administrative support for all Hospitality services while reporting into the Hospitality Technology & Digital Brand Manager . Th e position hours would be Monday - Friday - 7:00 – 3:30PM and working onsite 5 days a week at IDEXX Headquarters located at One IDEXX Drive in Westbrook, Maine. In this role you will: Provide support for the Hospitality team, duties may include, but are not limited to provid ing the backbone of operational support on the event floor of the WCCC including checking room set ups, service execution, guest assistance , coordination with catering, breakdown /reset support, etc. Manage the shared [email protected] inbox, scheduling, reporting, tracking event inventory, problem solving for technical issues, ordering event/meeting supplies, spreadsheet creation and general project management. Handle various Hospitality concierge duties including but not limited to supporting inventory, restocking, dining digital signage, business center and copier needs, incoming/outgoing mail operations , etc. Be an administrator for management software of the WCCC - primarily Accruent /EMS to book internal space, reporting, banquet event orders, catering menu input, event signage, etc. Partner with s ervice partners in Building Services, Security, Janitorial , AV, etc. to help execute meetings and guest needs in the WCCC needs . Provide excellent, professional and timely customer service to create memorable experiences for all customers . Diplomatically manage and negotiate last-minute customer requests , resolve conflict quickly and efficiently with proactive and consistent communication in a professional manner. Identify trends and resources needed for the department and c ontribute to creating these solutions . Support the IDEXX Hospitality teams as needed and fill in for PTO coverage on various teams .
