About The Position

Our Hospital Services Manager will have the opportunity to put their outstanding leadership and operational skills to great use with one of the most prestigious specialty veterinary hospitals in California. This is a 100% administrative, exempt position supporting Client Care, Emergency, Critical Care, and Patient Care.

Requirements

Minimum 3 years of operations, office, or practice management and leadership/supervisory experience.
Excellent written and oral communication skills.

Highly organized with the ability to manage multiple priorities in a fast-paced environment.
Strong decision-making, problem-solving, and conflict resolution skills.

High School Diploma or GED.

Nice To Haves

Bachelor's degree in Hospitality, Communications, Business Administration, or a related field.
Veterinary Technician credential.
Experience in veterinary medicine, animal health, healthcare, or a related service environment.
Experience with client service leadership or multi-department hospital operations.
Proficiency in Microsoft Office, scheduling software, and veterinary management platforms.

Responsibilities

Develop and strengthen hospital teams by fostering mutual trust, respect, and collaboration while incorporating our vision, mission, and core values into everyday work.
Serve as a mentor and coach for team members requiring development or assistance with non-clinical matters, including supervision, communication, and workplace relationships.

Assist the Clinical Supervisor with schedule development and workforce planning.
Support call-out management and staffing adjustments to maintain operational efficiency and continuity of care.
Provide oversight, guidance, and support for Client Service Specialists.
Provide recommendations regarding hiring, promotion, disciplinary action, and termination that are given particular weight by Hospital Leadership.
Directly supervise four or more employees and coordinate and direct their work.
Lead coaching, performance management, corrective action, and performance evaluations for assigned employees.
Serve as a key communication resource for clinical and operational teams.
Promote consistency in hospital policies, procedures, workflows, and workplace expectations.
Collaborate with the Hospital Director, Medical Director, Clinical Supervisor, and team leads to identify opportunities to improve operational efficiency, patient care, and client service.
Procure supplies and inventory essential to patient care and hospital operations using approved vendors while maintaining appropriate minimum and maximum stock levels.
Identify opportunities to improve billing efficiency, accuracy, and revenue capture.
Monitor billing workflows, identify discrepancies, and coordinate the timely resolution of billing issues.
Oversee day-to-day facility needs, proactively identifying maintenance, repair, and infrastructure concerns that may affect hospital operations, safety, or the client and employee experience.
Coordinate facility repairs and maintenance by partnering with approved vendors, property management, and internal resources, ensuring issues are addressed in a timely manner with minimal disruption to hospital operations.
Track outstanding facility issues through resolution and communicate relevant updates to hospital leadership and affected teams.
In partnership with the Hospital Director and Clinical Supervisor, ensure timely scheduling and coordination of preventive maintenance, required inspections, and annual servicing of medical equipment.
Support exceptional experiences and satisfaction for clients and referring veterinarians.
Regularly assess the efficient and effective flow of clients and patients through the hospital and implement initiatives to improve efficiency and ensure exceptional care from arrival through discharge and follow-up.
Address and assist in resolving escalated client concerns and service issues with professionalism, empathy, and appropriate follow-through.
Partner with clinical and operational teams to identify opportunities to improve the overall client experience.
Ensure adherence to hospital policies, procedures, and workplace expectations.
Monitor compliance with applicable regulatory requirements and safety standards.
Support a safe, organized, clean, and compliant hospital environment.
Identify operational or facility-related safety concerns and coordinate appropriate corrective action.
Support employee performance management and corrective action processes in partnership with hospital leadership.
Contribute to a positive, collaborative, and team-focused hospital culture.
Perform additional duties as assigned based on evolving hospital and operational needs.
