About The Position

NorthStar Energy Services is seeking a Hiring Coordinator / HR Administrative Support to support high-volume hiring and onboarding activities for field operations in the Midland, TX area. This role is critical to ensuring candidates move quickly and efficiently from offer to start, with a strong focus on paperwork, compliance, and coordination. This position will support a growing field workforce by managing onboarding processes, coordinating hiring documentation, and working closely with hiring supervisors, field leadership, and HR teams to ensure employees are cleared and ready to mobilize to job sites.

Requirements

  • High school diploma or equivalent; associate or bachelor’s degree preferred
  • 2+ years of experience in HR support, onboarding, administrative, or high-volume coordination roles
  • Strong organizational skills and attention to detail, especially in handling documentation and compliance requirements
  • Experience managing multiple priorities in a fast-paced, deadline-driven environment
  • Proficiency with Microsoft Office and HR systems (ATS/HRIS experience preferred)
  • Strong communication skills with the ability to interact effectively with candidates and internal teams
  • Ability to work independently while supporting a team-based hiring function
  • Experience in construction, energy, or field-based hiring environments preferred

Responsibilities

  • Coordinate onboarding activities for new hires, including collecting, reviewing, and processing required employment documentation
  • Prepare and issue onboarding packets, and new hire paperwork in a timely and accurate manner
  • Track candidate progress from offer acceptance through start date, ensuring all compliance requirements are met
  • Schedule and coordinate pre-employment requirements such as drug screens, background checks, and physicals
  • Communicate regularly with candidates, hiring supervisors, and field teams to ensure alignment on start dates and onboarding status
  • Maintain accurate records in HRIS or applicant tracking systems and ensure documentation is complete and audit-ready
  • Support high-volume hiring efforts by managing multiple candidates simultaneously and prioritizing urgent hiring needs
  • Assist with office setup and administrative support for the Midland location as needed
