About The Position

The HIM Specialist is responsible for a variety of tasks related to health information management, including document preparation, data entry, and customer service. This role ensures the accuracy and efficiency of the electronic medical record (EMR) system and compliance with HIPAA regulations. The position involves direct interaction with patients, employees, and external organizations, requiring strong communication and organizational skills. There are opportunities for growth within the Health Information Department, with different levels of experience and responsibility.

Requirements

  • High school graduate or equivalent (Entry-Level).
  • Associate degree in health information or related field; or commensurate experience (Mid-Level).
  • Three (3) years health information experience and knowledge of medical terminology, HIPAA, and state and federal privacy laws (Mid-Level).
  • Ability to input a high volume of information accurately.
  • Familiarity with Microsoft Windows, Microsoft Word, and Hyland software.
  • Demonstrates strict adherence to HIPAA guidelines.
  • Mid-Level HIM Specialists must be familiar with Hyland ROI Software, Hyland Virtual Printer, Microsoft Office Suite, and Hyland scanning and indexing software.
  • Senior HIM Specialists will also need to be proficient in Adobe and data exchange within the secure Patient Portal.
  • Ability to communicate with a variety of staff members in a courteous and professional manner.
  • Must be able to work under time constraints and adhere to schedules.
  • Must be able to do repetitive tasks for long periods of time.
  • Must be able to sit, stand, and/or walk for an entire workday.
  • Must be able to lift, carry, push, pull, and/or twist while holding up to 25 lbs. occasionally.
  • Full-time employment.
  • Local travel, including all GLBHC sites, is a requirement.
  • Personal vehicle required for travel.
  • Valid driver’s license and appropriate insurance coverage required for travel cost reimbursement.

Nice To Haves

  • Preference for experience in a health information department or those who have indexing duties in a healthcare setting (Entry-Level).
  • Ability to use Microsoft Excel to create reports is preferable.

Responsibilities

  • Prepare, sort, compile, and verify the accuracy of documents before scanning, reporting errors to the supervisor.
  • Manipulate source documents to group like items, delete unnecessary items, and prioritize documents requiring immediate attention.
  • Enter data from source documents into specific fields in the EMR using keyboards for indexing.
  • Initiate communication notes for prescription refills, prior authorizations, and forms, routing them to the appropriate party.
  • Enter health maintenance data (mammograms, diabetic eye exams, colonoscopies) into the EMR flow sheet.
  • Complete orders in the patient's medical record using source documents to verify appointment keeping.
  • Handle File-Safe related activities, including ordering supplies, scheduling pick-ups, and managing off-site chart retrievals.
  • Review and process release of health information requests accurately and efficiently, providing high-quality customer service.
  • Function as a mailroom clerk on a rotation basis.
  • Handle incoming calls from patients, employees, and outside organizations courteously and in compliance with policies and HIPAA regulations.
  • Assist the Health Information Coordinator or Director with EHR related activities as needed.
  • Perform other duties as assigned.
