About The Position

The Health Information Management (HIM) Assistant Director supports the HIM Director in the coordination, supervision, and daily operations of the Health Information Management Department for a Critical Access Hospital and affiliated outpatient clinics. This position provides operational oversight of Release of Information (ROI), document imaging and scanning, medical record integrity, physician deficiency management, chart completion, regulatory compliance support, and HIM staff supervision. The role requires advanced working knowledge of Oracle Health/Cerner and familiarity with Updox, MedHost, and eClinicalWorks (eCW). The HIM Assistant Director provides operational leadership for day-to-day HIM functions and serves as the primary operational resource for Cerner HIM workflows. The position does not oversee coding operations or Coding Department staff, which remain under the direction of the Coding Manager.

Requirements

  • Associate degree or higher in HIM, Healthcare Administration, Business Administration, or related healthcare field required.
  • Minimum 3 years of HIM experience required.
  • Minimum of 1 year leadership or supervisory experience required.
  • Experience managing Release of Information operations required.
  • Minimum 2 years Oracle Health/Cerner experience required.
  • Knowledge of HIM principles, HIPAA, Release of Information requirements, CMS, CAH, Joint Commission, New Mexico regulations, document imaging, chart completion, and EHR systems including Cerner.
  • Strong leadership, communication, analytical, organizational, customer service, and problem-solving skills.
  • Proficiency in Microsoft Office applications and healthcare information systems.
  • Ability to supervise staff, manage priorities, improve workflows, interpret regulations, and serve as acting HIM Director when needed.
  • Frequently sits, stands, walks, bends, stoops, and reaches during daily work activities.
  • Requires the ability to move throughout hospital departments, outpatient clinics, provider offices, and administrative areas.
  • Frequently utilizes computers, monitors, keyboards, telephones, scanners, copiers, and other office equipment.
  • Requires visual acuity sufficient to review electronic health records and detailed data on computer screens for extended periods.
  • Requires manual dexterity to operate office equipment and perform data entry accurately.
  • Occasionally lifts, carries, pushes, or pulls up to 25 pounds including chart boxes and records.
  • May be required to retrieve, organize, and transport paper medical records and storage materials.
  • Ability to communicate effectively in person, by telephone, and electronically.
  • Ability to travel between hospital departments, outpatient clinics, and off-site locations as needed.
  • Must maintain regular attendance and meet the physical demands of a fast-paced healthcare environment.

Responsibilities

  • Assist the HIM Director in overseeing daily HIM operations.
  • Provide supervision and support to assigned HIM staff.
  • Serve as acting HIM Director during absences.
  • Oversee ROI operations and compliance.
  • Manage physician deficiencies and chart completion processes.
  • Supervise document imaging, scanning, indexing, and records management.
  • Serve as the HIM operational resource for Oracle Health/Cerner.
  • Support HIM workflows involving eClinicalWorks, Updox, and MedHost.
  • Support compliance with HIPAA, CMS, CAH, and New Mexico requirements.
  • Support revenue cycle performance and DNFB reduction efforts.
