The High School Registrar supports the school's operations with a primary focus on student enrollment, preparation of transcripts, and maintenance of student files. Requirements

  • Bachelor’s degree from an accredited College or University, required.
  • Two to five years of professional experience in application support or a similar Data role
  • Track record of successful action and proven track record for overseeing data collection, validation, and reporting.
  • Experience planning and implementing staff professional development, consulting, and coaching.
  • Proficiency in using Excel and/or Google Sheets formulas and pivot tables to manipulate, compile and analyze data required.
  • Broad knowledge of visualizing data using Tableau, Tableau Prep, or other Business Intelligence (BI) tools.
  • Familiarity utilizing a broad range of student information systems (e.g., PowerSchool), academic assessment tools, and data housing (e.g., IReady, Illuminate) and survey platforms and remote learning systems (e.g., Google Classroom, curriculum platforms).
  • Understanding of managing and auditing data quality as a database administrator and writing and running SQL queries to manipulate data.
  • Ability to work a flexible schedule outside of regular business hours.
  • Aptitude to create and work within an inclusive environment that honors and supports a diversity of backgrounds and perspectives.

Nice To Haves

  • Preferred experience working directly with students, preferably required in the charter, private, or public school environment.
  • Prior experience working in schools and urban communities is preferred but not required.

Responsibilities

  • Work closely with the High School Leadership team (including the Principal, Director of Operations (DOO), Director of Post Secondary Opportunities, and Assistant Principal of Instruction) to oversee our student information systems with a focus on functions related to school records, databases, scheduling, grade books, credits, graduation plans, report cards, and transcripts.
  • Coordinate with school teams and vendors to ensure accurate, clear, and actionable report cards, data sheets, progress reports, and transcripts are produced and distributed on time.
  • Responsible for maintaining confidential student information and records while simultaneously following policies and procedures, ensuring the school operates within legal compliance and guidelines.
  • Leads student record responsibilities when KIPP CAP HS is subpoenaed about student attendance in relation to divorce decrees, custody orders, external regulatory parties notifications, McKinney Vento Act (rights of homeless families), the rights of ELL (English Language Learners) families, and other legal documents.
  • Works closely, as needed, with the school designated Social Worker and other outside agencies to handle student record requests in a timely manner.
  • Ensuring data systems pertaining to student information records are accurately updated with new information kept confidential, secure, and up to date by regularly reviewing data verification reports.
  • Organizing and administering student records, such as grades, attendance, transfer, and immunization records.
  • Exhibits the highest level of customer service, professionalism, and confidentiality to our students, families, and School Leadership team.
  • Progress monitors graduation requirements with awareness of New York State mandates.
  • Oversees the enrollment process for new students, gathering all required information while coordinating class schedules and resolving scheduling conflicts.
  • Direct the rostering and scheduling work for KIPP CAP, focusing on aligning course scheduling at the high school with state graduation requirements.
  • Accurately maintains information related to student enrollment, promotion, retention, dropout, and graduation as applicable.
  • Updates and purges students' permanent records as outlined by KIPP Capital Region student records policy and procedures.
  • May do homeroom rosters at the direction of the Principal.
  • Forwards transfer grades to teachers.
  • Completes quarterly grade verifications and distribution.
  • Changes grades at the end of the term as requested by teachers and/or approved by the principal.
  • Prepares report cards.
  • Serves as lead to assist end users and works closely with schools to execute registration, scheduling, records management, grade reporting, transcribing, and other key processes.
  • Reports potential problems, unusual events, or work irregularities to appropriate administrative or supervisory personnel.
  • Respond to inquiries, requests, constructive feedback, concerns, and/or complaints in a timely and positive manner
  • Performs clerical tasks such as printing academic transcripts for students, assist when needed in the routine office and/or clerical tasks to support activities of the school secretary, bookkeeper, receptionist, principal, or other administrators as needed.
  • Produces accurate, reliable, high-quality data for various stakeholders, including funders, district leadership, school leadership, KIPP Foundation, and business managers.
  • Identifies potential improvements to student information management by resolving errors, preventing the recurrence of problems, or improving system reliability.
  • Undertakes knowledge management activities: identifying, controlling, and storing pertinent information and maintaining knowledge items to ensure they are current, relevant, and valid.
  • Build and maintain data reports and visualizations to display student achievement results and key performance metrics.
  • Provide additional data reporting and analysis for external accountability, compliance, surveys, teacher evaluation, or development tasks.
  • Analyze teacher performance and student achievement data (both formative and summative) to identify gaps in instructional design and make necessary adjustments
  • Train School Leaders, Teachers, Office Managers, and other school staff to use SIS functions efficiently and reporting tools that relate to grade books & grading, credits, graduation plans, report cards, and transcripts.
  • Observe, interview, establish periodic meetings, and/or build relationships with key constituent groups (leaders, teachers, operations staff, parents, and students) to understand their experience, gather feedback, and prioritize enhancements to systems function, reports, and training.
  • Prioritize and manage relevant support requests and communicate best practices and solutions to common challenges across school sites.
  • Develop reference tools and other resources to support ongoing training and professional development.
  • Perform other duties outlined by the Principal and Director of Operations.
