KIPP Capital Region is seeking a High School Registrar for the 26-27 school year. This role is crucial for supporting the school's operations, with a primary focus on student enrollment, transcript preparation, and the meticulous maintenance of student files. Requirements

  • Bachelor’s degree from an accredited College or University.
  • Two to five years of professional experience in application support or a similar Data role.
  • Track record of successful action and proven track record for overseeing data collection, validation, and reporting.
  • Experience planning and implementing staff professional development, consulting, and coaching.
  • Proficiency in using Excel and/or Google Sheets formulas and pivot tables to manipulate, compile and analyze data.
  • Broad knowledge of visualizing data using Tableau, Tableau Prep, or other Business Intelligence (BI) tools.
  • Familiarity utilizing a broad range of student information systems (e.g., PowerSchool), academic assessment tools, and data housing (e.g., IReady, Illuminate) and survey platforms and remote learning systems (e.g., Google Classroom, curriculum platforms).
  • Understanding of managing and auditing data quality as a database administrator and writing and running SQL queries to manipulate data.
  • Ability to work a flexible schedule outside of regular business hours.
  • Aptitude to create and work within an inclusive environment that honors and supports a diversity of backgrounds and perspectives.

Nice To Haves

  • Preferred experience working directly with students, preferably required in the charter, private, or public school environment.
  • Prior experience working in schools and urban communities is preferred but not required.

Responsibilities

  • Work closely with the High School Leadership team to oversee student information systems, focusing on records, databases, scheduling, grade books, credits, graduation plans, report cards, and transcripts.
  • Coordinate with school teams and vendors to ensure accurate and timely production and distribution of report cards, data sheets, progress reports, and transcripts.
  • Maintain confidential student information and records in compliance with policies, procedures, legal compliance, and guidelines.
  • Lead student record responsibilities for legal matters such as subpoenas regarding student attendance, custody orders, external notifications, McKinney Vento Act, ELL rights, and other legal documents.
  • Collaborate with the school's Social Worker and outside agencies to handle student record requests promptly.
  • Ensure data systems for student information records are accurately updated, confidential, secure, and up-to-date by reviewing data verification reports.
  • Organize and administer student records, including grades, attendance, transfer, and immunization records.
  • Provide high-level customer service, professionalism, and confidentiality to students, families, and the School Leadership team.
  • Monitor graduation requirements, ensuring awareness of New York State mandates.
  • Oversee the enrollment process for new students, gathering required information, coordinating class schedules, and resolving conflicts.
  • Direct rostering and scheduling for KIPP CAP, aligning course scheduling with state graduation requirements.
  • Accurately maintain information related to student enrollment, promotion, retention, dropout, and graduation.
  • Update and purge students' permanent records according to KIPP Capital Region policy.
  • Prepare homeroom rosters, forward transfer grades, complete quarterly grade verifications, and process grade changes as directed.
  • Serve as a lead to assist end-users and collaborate with schools to execute registration, scheduling, records management, grade reporting, transcribing, and other key processes.
  • Report potential problems, unusual events, or work irregularities to appropriate personnel and respond to inquiries and feedback promptly.
  • Perform clerical tasks such as printing academic transcripts and assisting with routine office tasks for school staff.
  • Produce accurate data for stakeholders including funders, district leadership, school leadership, KIPP Foundation, and business managers.
  • Identify potential improvements to student information management by resolving errors and enhancing system reliability.
  • Undertake knowledge management activities, including controlling, storing, and maintaining pertinent information.
  • Build and maintain data reports and visualizations for student achievement and key performance metrics.
  • Provide additional data reporting and analysis for external accountability, compliance, surveys, teacher evaluation, or development tasks.
  • Analyze teacher performance and student achievement data to identify instructional gaps and make adjustments.
  • Train School Leaders, Teachers, Office Managers, and other staff on SIS functions, reporting tools, grade books, credits, graduation plans, report cards, and transcripts.
  • Build relationships with key constituent groups to understand their experience, gather feedback, and prioritize system enhancements.
  • Prioritize and manage support requests, communicating best practices and solutions across school sites.
  • Develop reference tools and resources for ongoing training and professional development.
  • Perform other duties as outlined by the Principal and Director of Operations.
  • Comply with all charter, federal, state, and local laws and regulations.
