About The Position

Ensure accurate, timely and compliant collection, management and reporting of all high school PEIMS (Public Education Information Management System) data in accordance with Texas Education Agency guidelines and other applicable regulations. Provide support to campus/district staff in maintaining data integrity and fulfilling state reporting obligations regarding high school students and classes.

  • Knowledge of Skyward Student Information System, Student Attendance Accounting Handbook, Texas Education Data Standards and Texas State Data System
  • Knowledge of state regulation, district policy, attendance, grade reporting, scheduling and student records

Responsibilities

  • Manage collections of high school PEIMS data: student demographics, attendance, enrollment, course scheduling, staff data, special programs and graduation information.
  • Run verification and error checking routines, audit data, resolve discrepancies; ensure that submitted information is complete, accurate and timely.
  • Keep knowledge current with TEA standards, data standards, coding requirements and any changes or updates.
  • Provide support to other campus data clerks, special program coordinators and other staff involved in data entry and reporting.
  • Develop/maintain process documentation, report templates and data validation procedures.
  • Generate requested reports for campus/district leadership, assist in internal audits and act as the campus point of contact for data reporting inquiries.
  • Comply with Federal, State and local policies and procedures
  • Work cooperatively with district and school staff to ensure data for all special programs is collected, entered and reviewed for accuracy and submitted according to prescribed state guidelines.
  • Audit special program information entry and exit date for all students from source documentation received from campus administrators.
  • Monitor for compliance with the SAAH (Student Attendance Accounting Handbook), TEDS (Texas Education Data Standards) and TSDS (Texas State Data System)
  • Provide support on the SIS and Gradebook to campus staff.
  • Process grade change requests, move grades from schedule changes and process grade checks every 3 weeks.
  • Run report card process every 9 weeks and print report cards.
  • After running edits, reports and verification checks on data to ensure accuracy, distribute reports to appropriate staff to analysis, verification and corrections.
  • Compile, maintain and file all physical and computerized reports, records and other documents as required by TEA.
  • Process all online student enrollments, obtaining all local and state required documents, requesting previous school records through Texas Records Exchange (TREX) or other avenues if out of state.
  • Keep accurate, readily available enrollment counts.
  • Create the graduation program with accuracy of all information, names and endorsements or achievements.
  • Enter all Graduation information on seniors-Financial Aid codes, Peace Officer Interaction Training, Military Enlistments, IGC’s, FHSP information, CPR training and associate degrees
  • Enter information and track all transfer students and resident affidavits.
  • Create “Monitor Only” classes for teachers and place students in those classes
  • Create and maintain automated emails and reports for administrators
  • Working closely with Stubblefield Learning Center, monitor enrollments and all paperwork
  • Track withdrawn students through TSDS system, code and make sure proper documentation is received from the enrolling district.
