About The Position

This position serves as the High School Counseling Secretary at Kenowa Hills High School. The role involves providing essential administrative support to the counseling staff and the Transitions Coordinator. Key duties include managing student academic records, data entry, facilitating college-related activities, and maintaining a welcoming environment for students, parents, and staff. The secretary will also support MTSS PBIS programs and 504 plan development and implementation, ensuring confidentiality at all times.

  • Ability to manage multiple tasks/projects on an ongoing basis
  • Possesses a friendly, outgoing personality with the ability to communicate effectively and develop positive relationships with parents, students & staff
  • Ability to generate and manage a secondary class schedule
  • Excellent organizational and time management skills
  • Detail oriented
  • Proven confidentiality, strong analytical and problem solving skills are needed
  • Must possess a sound knowledge of spelling, grammar and punctuation via written or orally
  • Ability to work independently as well as part of a team on group projects when necessary
  • The ability to work flexible hours and an excellent work attendance record is required
  • Strong computer skills and proficiency in the use of Power School and Microsoft programs
  • This position is an in-person role and requires regular, on-site attendance at the assigned work location
  • The essential functions of this position cannot be performed remotely
  • The employee will occasionally lift and/or move instructional materials and equipment (up to 25 pounds)
  • Selected candidate must receive clearance from the Michigan State Police Department prior to employment
  • The candidate is responsible for the background check fee

Responsibilities

  • Organize and maintain CA60 files
  • Provide administrative support to the High School counseling staff and the Transitions Coordinator
  • Assist with maintaining student academic records in student information system (Powerschool) associated with middle college, dual enrollment, KCTC and college and career preparation programs
  • Data entry including updating student GPA, processing student transcripts in Parchment
  • Facilitate college related activities (representative visits, college application waivers, college campus visits etc.)
  • Facilitate new student intake appointments for the counseling office
  • Provide a welcoming environment to students, parents and staff accessing the counseling office
  • Keep track of the MTSS PBIS programs and activities
  • Support Counseling and district coordinator with 504 development and roll-out, including scheduling 504s at the coordinators' request
  • Maintain Confidentiality at all times
