About The Position

Heavy Haul, LLC is seeking a Heavy Haul Dispatcher / Coordinator to coordinate and efficiently dispatch trucks transporting oversized and overweight loads. The role requires attention to detail, strong organizational skills, and the ability to manage multiple shipments at once. The dispatcher briefs drivers on load details, routes, and safety regulations and works with customers, drivers, and the operations team to support timely deliveries. The position operates in an office environment, with regular interaction with drivers and customers by phone and email. Familiarity with heavy or construction equipment is relevant. The work is fast-paced and requires quick decision-making and adaptability.

Requirements

High school diploma or equivalent.
Previous heavy haul or transportation dispatching experience is strongly preferred.
Strong understanding of DOT regulations, oversized-load requirements, and permitting processes.
Proficiency with dispatch software, GPS systems, and Microsoft Office Suite.
Excellent communication and organizational skills.
Ability to work under pressure and manage multiple tasks simultaneously.
Strong problem-solving skills and attention to detail.
Ability to make quick decisions and adapt in a fast-paced environment.

Nice To Haves

Additional education or certifications in logistics or transportation.
Class A CDL.

Responsibilities

Coordinate and schedule heavy haul shipments, selecting suitable routes for oversized and overweight loads.
Assign drivers to loads based on load requirements, availability, and safety considerations.
Monitor shipment progress and provide real-time updates to customers and management.
Serve as the primary contact for drivers, customers, and other stakeholders about shipment details and issues.
Communicate with drivers to support schedule adherence and compliance with safety protocols.
Resolve on-the-road issues such as delays, equipment breakdowns, and route changes.
Ensure shipments comply with federal, state, and local regulations, including permits, weight limits, and route restrictions.
Prepare and maintain accurate shipment records, including load details, delivery times, and incidents.
Coordinate with regulatory agencies to obtain permits and clearances for oversized loads.
Monitor and enforce safety standards and procedures for heavy haul operations.
Assist with accident investigations and reporting, ensuring incidents are documented and addressed.
Provide pre-trip safety briefings and ensure equipment is inspected and complies with safety regulations.
Build and maintain customer relationships and address inquiries and concerns with timely updates and solutions.
Use dispatch software and other tools to manage and track shipments.
Prepare and submit reports on dispatch activities, performance metrics, and issues encountered.
Collaborate with the operations team to improve dispatch efficiency and service delivery.
