About The Position

The Healthcare Scheduler will be responsible for scheduling and registering patient appointments and/or providing information for other requests. This role involves processing all phone, fax, email, and other communication channel requests with an emphasis on efficiency and accuracy. The scheduler will assist new members with an introduction to and explanation of available services, processes, and provider availability. They will also update patients on the status of their referral or authorizations. A key responsibility is answering, screening, and processing a high volume of incoming calls professionally, directing patient access to the practice by scheduling and canceling patient appointments for multiple providers. The role requires utilizing and adhering to a phone script, clinical decision trees, and scheduling criteria following department guidelines. The scheduler will use independent knowledge within their scope to determine the type of appointment needed and its urgency, scheduling the patient to the appropriate provider or routing the call to the appropriate resource. Additionally, they will communicate complex exam preparation instructions to patients and ordering physicians' offices, including pre-procedure laboratory test requirements and other necessary preparations. The role also involves sending accurate and complete communication to physicians or other healthcare providers.

Requirements

  • Minimum 1 year of recent call center experience

Responsibilities

  • Schedule and register patient appointments.
  • Provide information for other requests (e.g., addresses/directions, phone numbers, hours of operations, other departments, such as billing, etc.).
  • Process all phone, fax, email, and other communication channel requests with an emphasis on efficiency and accuracy.
  • Assist new members with introduction to and explanation of available services, processes and availability of providers.
  • Update patients of the status of their referral or authorizations.
  • Answer, screen, and process a high volume of incoming calls in a professional manner.
  • Direct patient access to the practice by scheduling and canceling patient appointments for a multiple providers.
  • Utilize and adhere to a phone script, clinical decision trees and scheduling criteria following department guidelines.
  • Use independent knowledge within scope of knowledge and training to determine the type of appointment needed and urgency to schedule the patient to the appropriate provider or route the call to the appropriate resource.
  • Communicate complex exam preparations instructions to patients and internal and external ordering physicians' offices, including but not limited to, pre-procedure laboratory test requirements and other necessary preparations instructions.
  • Send out accurate and complete communication to physicians or other healthcare providers.
